- Serve as the Office Administrator for a busy Real Estate sales office, ensuring smooth and efficient operations.
- Manage day-to-day administrative tasks and support sales agents to maximize productivity.
- Handle licensing and membership compliance, including processing hires, transfers, and terminations.
- Track license expirations and ensure office rosters are current with the Department of Real Estate (DRE) and local Realtor associations.
- Oversee transaction management and record-keeping, monitor new listings and sales activities, and maintain trust logs.
- Assist agents with compliance responsibilities, including documentation submission and file auditing.
- Perform various accounting functions: enter transactions into accounting software, track escrow closings, prepare commission disbursements, coordinate vendor payments, and maintain financial records.
- Ensure a clean and professional office environment, coordinate repairs and maintenance, and maintain office equipment.
- Support marketing and advertising efforts: coordinate ad submissions, communicate opportunities to agents, and promote company tools.
- Manage general office operations: complete administrative tasks, assist with projects, coordinate meetings and events, and support the Branch Manager with delegated responsibilities.
- Create a positive working environment, respond to agent inquiries, support their business efforts, and maintain communication with the Home Office.
- Participate in weekly sales meetings, prepare office awards, support recruiting efforts, manage the CRM system, and handle additional tasks as assigned.
Qualifications:
- High school diploma required; additional training in office operations or real estate preferred.
- Strong computer skills in Microsoft Office (Excel, Word, Outlook) and experience with internet tools, Google, Zipforms, and MLS.
- Must be well-organized, detail-oriented, and possess strong follow-up skills.
- Prior experience in real estate, title, or escrow in an administrative capacity preferred.
