Job Description

Overview /Objective

The Coordinator will be an integral part of the front office team. The Coordinator will handle a wide range of executive support-related tasks, including but not limited to League meeting preparation and coordination, managing the Commissioner's guests for regular and postseason games and tentpole events, such as Super Bowl and Draft, coordinating executive holiday gifting, managing the Commissioner's physical mail, drafting thank you notes and letters, and communicating with the 32 NFL teams and owners' offices. The Coordinator will operate with the utmost discretion while working with highly confidential information, ensuring impeccable attention to detail, organizational skills, and thoroughness.

Responsibilities
  • Support preparation of briefing materials for meetings, games, trips, conferences and other events, working across a broad range of stakeholders.
  • Coordinate logistics for NFL owner meetings, including but not limited to booking space, working with IT and security to prep support for guests and internal stakeholders, order meals and coordinate meal service, take meeting attendance, manage League Secretary website.
  • Regularly manage communication with NFL owner assistants to answer any inquiries.
  • Manage suite invitations and suite tickets for Commissioner's guests at regular and postseason games and Super Bowl.
  • Support preparation for Commissioner's Super Bowl schedule and briefing materials.
  • Work across a broad range of internal stakeholders to develop executive holiday gifting list, procure and send out gifts, and draft letters.
  • Manage invitation and RSVP process for Commissioner's party at Super Bowl.
  • Anticipate all needs of the executives by thinking and working proactively with a one-step-ahead mentality throughout the day in terms of meeting prep, arising issues and new developments.
  • Prepare for meetings and appointments by creating agendas and other pertinent materials, preparing conference rooms and audio/visual needs and securing external guests when applicable.
  • Make thoughtful, quick and accurate decisions when executive is unavailable.
  • Assist in regularly creating and editing memos and PowerPoint presentations to be presented by the executives.
  • Handle confidential information meticulously; escalate any required information with discretion.
  • Draft, review and send communications on behalf of executives.
  • Organize and coordinate multiple large meetings, materials, reports, etc.
  • Provide in-person office phone and vacation coverage for other members of the Office of the Commissioner
  • Able to have a clear understanding of the company structure and the way departments operate.
  • Miscellaneous projects and tasks as assigned in a timely and accurate fashion.
  • Nurtures strong partnerships with a broad range of individuals including other EAs, facilities, the executive's direct reports, travel, IT, security and other key internal stakeholders.
  • Serves as the eyes and ears of the senior executives.
  • Answer questions with tact, diplomacy and accuracy.
  • Operate with sound judgement and efficiency.
  • Keep executives abreast on time sensitive and priority issues, ensuring appropriate follow-up.
  • Handle printing, faxing, copying, filing, mail and shipping.
Required Qualifications
  • At least 4 years of prior administrative experience for a senior-level executive.
  • Significant experience working in Microsoft Outlook, Excel, Word and PowerPoint required.
  • Strong technology skills including the ability to work within PC and Mac programs, iPad, iPhone, and Google products. The ability to type fast and efficiently is a plus.
Preferred Qualifications
  • Bachelor's Degree.
  • Experience within digital, entertainment or sports industry preferred.

Salary / Pay Range

The NFL expects to hire for this position near the middle of the range. Only in truly rare and exceptional circumstances, where an external candidate has experience, credentials or expertise that far exceed those required or expected for the position, would the NFL consider paying a salary or rate near the higher end of the range.
