Key Responsibilities

  • Welcome visitors in a friendly, professional manner. Provide accurate information and direct them to the appropriate personnel or area.
  • Answer and direct incoming calls promptly, ensuring they are routed to the correct team members.
  • Manage office correspondence by processing and distributing incoming and outgoing mail and packages.
  • Perform data entry, manage filing systems, and assist with document preparation, including scanning, organizing, and proofreading.
  • Support staff with day-to-day administrative tasks, including scheduling, preparing reports, and maintaining office supplies.
  • Provide exceptional customer service, maintaining a positive and professional image of the office while ensuring smooth communication between departments and external partners.

Qualifications

  • Education: A high school diploma or equivalent is required; an associate degree or higher is preferred.
  • Experience: 1-3 years of experience in an administrative role, preferably within an office environment.
  • Skills:
  • Strong organizational skills with the ability to prioritize multiple tasks effectively.
  • Exceptional verbal and written communication skills with attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook); familiarity with Adobe or Bluebeam is a plus.
  • Outstanding interpersonal skills with a customer-service mindset.
  • Self-motivated and able to work independently as well as part of a team.
  • Bilingual: Proficiency in both English and Spanish is highly preferred.
