JOB SUMMARY:

Oversees the daily administration of the department and is responsible for planning, directing and coordinating the activities of the administrative staff.

Is a member of Environmental Healths management team that deals with program issues, policies, procedures, directives, or objectives from direct supervisor.

Responsibilities:
  • Responsible for planning, organizing, problem solving, supervising, managing, reviewing and evaluating work of the office support employees. Assigns duties, determines work schedules, work product/process, authorizes leaves, performance evaluation, training, problem resolutions, hiring and termination recommendations.
  • Prepares, tracks and reports on the departments budget; Manages purchasing activity, prepares and distributes requests for proposals for processional services, assists with grants, works collaboratively with management on policies and procedures.
  • Manages and processes payroll to include all Human Resources documents; Manages and processes all travel reimbursements, seminars and conferences arrangements; Manages all employment documents for department.
  • Responsible for departmental software program and related technology activity; Works with software company to ensure the program is operating for all employee access; Administer and manage all IT programs that are utilized for the activities required for the departments daily operations.
  • Provides leadership and assistance to the department head by handling special projects and/or administrative assignments; Assists director in managing the daily operations of the department by providing varied, complex and confidential liaison, communication and administrative assistance.
  • Provides input on departmental policy and procedures, financial activities, information technology implementations and various operational department activities.
  • Assigns work, supervises and assists other employees with their work; Prepares and conducts performance appraisals; Recommends new hires, transfers/promotions and disciplinary action; Reviews work of others for quality assurance and quality control.
  • Responds and takes action for calls involving complex issues or complaints.
  • Participates in activities and duties related to emergency management during a local state of disaster as directed by appropriate county managers.
Qualifications:
  • High School Diploma/GED; 2 years of college or specialized training in office management preferred.
  • 5 years job related experience with 1 year in administrative or supervisory capacity. Previous experience within an environmental or public health organization preferred.
  • Proficient with Microsoft Office; advanced computer and typing skills including word processing, spreadsheets, databases and variety of software application.
  • Excellent interpersonal skills and ability to deal effectively with the public, other employees, department and elected officials.
  • Strong multi-tasking and organizational skills.

SALARY: $27.69 - $34.61 per hour, based on qualifications
