Job Summary

The Administrative Assistant I, will assist with providing administrative duties and support the office operations with day-to-day activities which takes place in the office suite. The incumbent for this position will be working directly under the supervision of the Parking & Transportation Manager.

Job Duties

Job Duties & Responsibilities:
  • Report directly to the Parking & Transportation Services Manager and promptly complete tasks given by other Business & Auxiliary Services staff members.
  • Greet, direct appropriately, and assist visitors/customers, answer phone calls, take messages and/or redirect calls accordingly.
  • Receive, sort, and distribute incoming mail and promptly prepare outgoing mail (envelopes, packages, etc.). Issue parking permits accordingly while maintaining files and records so they remain updated and accessible.
  • Operate copiers, fax machines, and other office equipment while processing and making copies of various documents.
  • Learn and operate parking management software and provide BEARcard Office-related functions as needed. Create spreadsheets, labels, and/or Word documents and assist with replying to incoming emails for Parking and Transportation Services.
  • Count Parking Permits, activate parking gate access cards, and enter data into a parking management system.
  • Provide support with the State Treasurer's Office-related insurance functions-other duties as designated.
Requested Minimum Qualifications

Education:High School Diploma or GED.

Experience:
  • Two years of office experience providing secretarial/administrative
    support, which included the production of documents using automated equipment and
    software.
  • Establish or revise filing systems, either electronic or tangible;
  • have a general working knowledge of Microsoft Office;
  • be willing to learn various software programs;
  • communicate clearly in person and in writing;
  • and project a professional and positive image.
  • Ability to walk throughout the office suite to retrieve materials for customers and/ or staff persons.
