POSITION SUMMARY

The Medical Records Representative is responsible for sorting of daily incoming faxes; scanning patient's consultations, laboratory reports, diagnostic reports and other documents into patient's chart. The Medical Records Specialist will fax out all documents requiring additional information to medical sites. This position is also required to scan daily email and process No Show appointment letters. Provide administrative support by handling outgoing correspondence. Work is performed under the direct supervision of the Medical Records Coordinator. Will comply with the organization and departmental policies.

Qualifications

ESSENTIAL SKILLS AND EXPERIENCE:
  • Ability to communicate effectively with patients, co-workers, and the general public both in person, written and over the phone
  • Minimum six (6) months experience as a Medical Records Representative
  • High school graduate or GED from an accredited institution
  • Basic office skills: typing, faxing, scanning and telephone
  • Computerized database experience
  • Accuracy and attentional to detail
  • Ability to prioritize and perform multiple tasks simultaneously
  • Demonstrated understanding of clinical methods and techniques
  • Basic computer efficiency
  • Ability to perform a variety of assignments requiring minimal exercise of independent judgment
  • Meet the organization immunization requirement
  • Valid Level One Fingerprint Clearance Card issued by the Arizona Department of Public Safety for all specialty behavioral health locations
POSITION REPONSIBILITIES
  • Responsible for scanning incoming documents into patient's chart accurately
  • Sort incoming faxes and correspondence
  • Research and verify within patient's chart
  • Ability to perform work at established production rates
  • Process appointment No Show Letters
  • As needed will be utilized as back-up for the patient support center
  • Maintain effective communication with office staff and providers in all of the health centers as needed
  • Attend staff meetings, in-service meetings, or other required meetings
  • Maintain good attendance, is punctual and works full scheduled shift
  • Demonstrate respectful, professional and appropriate behavior that supports a team oriented work environment
