What You Will Do:
Administrative Assistant III providing support to the VP, Learning & Quality and VP, Resource Planning & Enablement (department heads) and enhancing the operational efficiency and culture of the Field and Client Service team. Proactively manage schedules and complete tasks, while maintaining integrity and discretion. Uniquely equipped to anticipate the needs of your leader, and the team, your contributions will help remove administrative and operational obstacles. Builds relationships and influences across our function and across our organization. Exercises a high level of confidentiality, tact, and diplomacy in supporting the team. Stay current on organization concepts, practices, procedures, and priorities and keep your finger on the pulse of the organization's needs. With tenacity and collaboration ensure responsibilities are completed accurately and delivered in a high quality and timely manner.
How You Will Do It:
- Independently handle and maintain executives' schedules, appointments, and travel arrangements. Proactively navigates and troubleshoots with a sense of urgency.
- Agile and collaborative member of the team, willing to step in, and provide broader team support based on capacity.
- Crafts materials for leadership including spreadsheets, presentations, memos, letters, and forms.
- Sharp and astute learner, embrace the industry, and demonstrate cultural agility to influence and build strong partnerships.
- Coordinates department meetings and events; prepares agenda, materials, etc.
- Assists in preparing and updating reports, dashboards, etc.
- Point of contact for technology access/services, often functions as PC/LAN contact.
- Prepares and monitors invoices, submits, and reconciles expense reports.
- Maintains all department supplies; anticipates needs related to orders.
- Takes thorough minutes of meetings.
- Assist with special projects and assignments as needed.

- Three or more years of administrative or assistance experience.
- High school diploma or equivalent; college coursework preferred.
- Tech savvy; proficient in MS Office at intermediate levels.
- Exposure to travel planning technology or ability to ramp quickly (Concur, etc.)
- Strength in planning, organizing, and leading execution.
- Strong organizational and planning skills.
- Excellent written and verbal communication skills.
- Attention to detail and problem solving.
- Excels at time management and navigating contending priorities.
- Polished and professional, relationship savvy, with the ability to interact at all levels.
- Exercises sound judgement in handling sensitive material.
