Overview:

Human Resources Generalist - Onboarding Specialist

  • Full-Time, 40 hours per week.
  • Monday-Friday: Hours will vary between 8:00am-5:00pm.
  • Position is required to be on-site in South Bend three days per week.

The Human Resources Generalist/Onboarding Specialist provides professional support of new and existing human resources operational needs and initiatives. The HR Generalist will assist with intervention and direction of day-to-day functions of human resources. The HR Generalist serves as a consultant promoting, communicating, and implementing organization-wide human resources initiatives. This role will perform administrative office support which includes coordination of clerical tasks, daily activities, and assigned projects for human resources, talent acquisition, and provider recruitment.

Responsibilities:
  1. Human Resources Support: Provide human resources support and guidance to managers and employees in resolving general employment matters.
    1. Assists employees in understanding human resources policies and program, and in resolving employment and work-related questions or issues.
    2. In partnership with the HRIS team, resolve manager and employee questions or concerns related to the HRIS system.
    3. Partner with benefits, leave administrator, and HRBP to ensure compliance is maintained with the leave process, tuition reimbursement, and policy guidelines. Coach leaders and employees towards following appropriate processes and utilization of resources available to them.
  2. Talent Acquisition Support: Point of contact for new hires and hiring leaders in regarding pre-employment screening, new hire onboarding, and IT.
    1. Transition assigned new hires and providers from offer accepted through hired status including:
    2. Initiate and track results for pre-employment drug and background screenings and credentialing.
    3. Collect required educational, license, and certification documents.
    4. Move candidates to hired status following successful pre-employment screening.
    5. Collaborate with HRIS to troubleshoot failed transitions from Applicant Tracking System (ATS) into HRIS or payroll.
  3. Facilitate New Employee Orientation and New Physician Orientation
    1. Schedule all new hires for orientation session, including invitation and managing attendees
    2. Facilitate New Employee Orientation and New Physician Orientation lead orientation session, schedule all presentations, order food/materials.
  4. Physician and Provider Recruitment Support: Initiates and executes the pre-employment and onboarding process of new physicians and providers.
    1. Initiates centralized activities for recruitment, onboarding, credentialing/privileging, and retention of new physicians and providers
    2. Anticipates recruitment needs by gathering relevant documentation, implementing metrics and reporting, and collecting additional new hire information
    3. Onboard into HRIS system and intranet including background checks, I9 new hire information and mandatory new hire documentation
    4. Collaborates with Finance, Payroll, Credentialing, HR, and corresponding departments to ensure physicians and providers are entered into the system and paid appropriately
    5. Process all sign-on, relocation, loan repayment, and catalyst bonus payments
    6. Facilitate and process all onboarding welcome emails, intake forms, and new hire information to corresponding departments
    7. Provides administrative support to Physician and Provider Recruitment staff
    8. Coordinates all recruitment related travel arrangements, appointment schedules, and calendar invites
    9. Arranges interview, appointments, meetings, and conferences
    10. Maintains reimbursements, expense reports, and credit card statements for department and physicians
    11. Maintains physician referral bonus program, composes correspondence and disseminates to appropriate individuals
    12. Coordinates and assists with the execution of Physician Recruitment activities of in-person interviews, job fairs, quarterly dinners, and events
    13. Responds to inquiries from candidates or students seeking clinical site placements
    14. Prepares various documents and handles confidential matters in accordance with practice rules and procedures
    15. Assists in compliance of financial, statistical data, and reports as assigned
  5. Other duties as assigned.

Qualifications:

EDUCATION:

  • Bachelors degree required

EXPERIENCE:

  • 2 years of experience working within human resources required.
