WHAT YOULL DO

The AVI-SPL Onsite Event Coordinator is responsible for delivering e2e experiences for company-wide CEO sponsored events, tech events and external facing global events.

This role will assist in ensuring projects achieve quality, scope, budget, safety and customer satisfaction requirements with the end goals of delivering a world-class event experience and will work closely with the Onsite Events Production Manager to achieve client objectives.

Day-To-Day Responsibilities:

  • Assist Onsite Events Production Manager in delivering e2e experiences for company-wide CEO sponsored events, tech events and external facing global events.
  • Ability to communicate goals of program and relationship to business goals.Execute a well-defined project plan within a program.
  • Assist engineering teams and be able to identify event technology deliverables including Audio Video, Networking, and Vendor management.
  • Assist in communicating event scope and strategy to cross functional teams.
  • Partner with internal teams and external teams to deliver high quality programs.
  • Track project timelines, deliverables, and dependencies in collaboration with project team members.
  • Assist with identifying and prioritizing action items within a plan to ensure effective delivery of most strategic work.
  • Identify and provide data to program lead when tradeoffs are needed.
  • Assist program lead on risk assessment necessary to create a response plan.
  • Work flexible schedule as needed.
  • Other duties as assigned.

Items to Consider:

  • AVI-SPL reserves the right to alter work hours and work location as necessary. Work hours may vary based on client requirements and may include travel to various locations in support of the account.
  • This position will generally work in a professional office environment as well as on customer sites and may deal with a construction site type of work environment.

WHAT WERE LOOKING FOR

Must-Haves:

  • 1-2 yrs. experience in event planning and coordination in an enterprise environment.
  • Capable of developing a high quality event plan leveraging project framework best practices, tools and templates.
  • Experience working cross functionally with internal teams and external partner.
  • Highly detail oriented and self-motivated with excellent written, verbal, and interpersonal skills for all organizational levels.
  • Excellent organizational, communication, and multitasking skills.
  • Exceptional time management, organizational and prioritization skills required for handling multiple events simultaneously.
  • Ability to remain calm under pressure and maintain a customer-first mindset.
  • Broad understanding of Event technologies.
  • Exhibit intellectual curiosity and eagerness to understand new areas.
  • Experience with Google Product suite (Docs, Sheets, Slides, Drive)
  • Experience with Smartsheets
  • Experience with MS Office suite
  • Passion for events and exceptional Customer first mind-set.

  • Experience with ServiceNow
  • Experience with video conferencing technology (Zoom, Poly)
  • Experience with video streaming and encoding (platforms and hardware)
  • Experience with AV technology and broadcasting.
