Job Overview

Synergis’s client is looking for an Events Communication Manager for their Tech exchange virtual classroom facilitation & events. This person needs to have experience coordinating events of various sizes (25-200 attendees) with a focus on learning events (e.g. workshops, training). The events are critical to the success of the program and student experience.

You’ll work closely with stakeholders to deliver the event, taking all event planning facets into consideration (i.e. planning and logistics, vendor coordination, event staff coordination and briefing, participant relations, etc.) and deliver a best-in-class experience.


Top 3 Daily Responsibilities:

  1. Event logistics & planning
  2. Participant relations and communication
  3. Onsite/virtual event coordination


Job Responsibilities

  • Create and update key project deliverables (project plans, project resource plans, project budgets and communications project plans) and facilitate meetings
  • Drive event logistics and planning from start to finish, collaborating with catering, transportation/travel, health & safety, facilities and other teams
  • Develop and manage end to end process (from requests intake to launch) for virtual events requests
  • Planning faculty retreats and assisting onboarding for vendors
  • Handle all communication for the exchange program for virtual classroom facilitation and events
  • Provide excellent verbal and written communication to serve as point of contact for all event participants
  • Act as a first line of defense for event participant troubleshooting and support, anticipate needs and ensure their conference experience is excellent
  • Organize and input data across various spreadsheets to track event activities, materials, and schedules
  • Update internal and external resources related to event
  • Develop collaborative partnerships with stakeholders, continually seek opportunities to increase satisfaction and deepen relationships within working groups


Skills

  • Experience in coordination events of various sizes (preferred experience with industry events of 25-200 attendees)
  • Detail-oriented and organized
  • Proficiency with Google Workspace (Gmail, Calendar, Sheets, Docs, Slides)
  • Excellent communication skills
  • Ability to multitask and balance multiple projects
  • High standards of quality in event deliverables
  • 4-5 years of experience, and dedicated to providing an inclusive event experience to everyone
  • Excellent communication, analytical and problem-solving skills
  • Ability to communicate with executive team and business and sales leaders


Preferred Qualifications:

  • Ability to partner with production and video vendors on timelines and deliverables
  • Ability to be highly productive and proactive with supporting key stakeholders
  • Ability to effectively manage time, prioritize tasks and work within deadlines with little supervision
  • Ability to work in a fast-paced environment
  • Working knowledge of large-scale in-person plus virtual events
  • Goal-oriented, strategic thinker who can seamlessly execute tactics and juggle multiple internal clients and projects at a given time.
  • Self-starter with initiative


The hourly pay rate range for this position is $45.00 to $52.00/hr (dependent on factors including but not limited to client requirements, experience, statutory considerations, and location).
