This position reports to the Director of the Multicultural Student Services Center ( MSSC ). The MSSC reports directly to the Associate Vice Provost, ODECE . The Administrative Assistant performs all major office administrative functions in the Multicultural Student Services Center. Responsibilities may include, but are not limited to: Receiving and submitting facilities requests; coordinating the planned maintenance. Preparing and distributing communications and correspondence on behalf of others. Assisting with contracts as required, gathering quotes, documents, and obtaining signatures. Processing vouchers, expense reports, invoices, and monthly p-card statements as needed. Serving as front-line point-of-contact for the MSSC : collect, refer, and handle requests and inquiries; engaging MSSC staff as appropriate. Coordinating and scheduling meetings with internal and external contacts as needed. Monitoring budgets: ensure that fiscal deadlines are met, handle purchasing cards and other financial transactions including the ordering of supplies, equipment for staff, and other materials, as needed. The Administrative Assistant may perform other related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position. Minimum Qualifications: Qualified candidates will hold a high school diploma/ GED plus 1.5 years of relevant professional experience, or, a Bachelor's degree or higher in a relevant area of study. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience. Preferred Qualifications: Excellent written, oral, and interpersonal communication skills. Excellent planning, organizational, budget, and computer skills. Demonstrated ability to handle sensitive and confidential internal and external communications. Competency in the use of Microsoft Office 365 (particularly Word, Excel, Outlook, SharePoint). Experience working with online forms such as Qualtrics, GoogleForms, etc. Working knowledge of or willingness to learn budget management and accounting systems and expense reimbursement and settlement systems. Experience with diverse teams and commitment to creating a climate of diversity, equity, and inclusion in a university. Ability to build trust, create allies, and sustain mutually respectful relationships with administrators, faculty, staff, students, and external collaborators. Ability to interact with faculty, students, and staff in a team environment. Ability to communicate both orally and in writing to a diverse audience. Skilled in utilizing tact and discretion in sensitive matters. 2+ years of responsible business, or higher education administrative experience, including six to twelve months of supervisory experience preferred. Functional and operational knowledge of Google products, and Microsoft Office products to include word processing skills desired. The position is based at GW's Foggy Bottom Campus in Washington, DC.
