What you will do for Harris County Precinct 4 (HCP4): Precinct 4 seeks an Events Coordinator to coordinate, organize, and execute events in collaboration with the Events Team. The Events Coordinator will report to the Manager of Events and work collaboratively with the Events Team and other divisions within Precinct 4. The ideal candidate will be proactive and well organized and will possess deep knowledge of community needs and best practices for professional engagement with community members. Job Duties and Responsibilities: Help coordinate and execute plans for events, primary and supplementary event organization. Help maintain master events calendar, ensuring timelines for planning and materials are achieved. Prepare internal memorandums to communicate logistics and vision for upcoming events. Record inventory and ensure maintenance of craft materials, promotional items, and signage as these items fall under the events purview. Assist Events Manager on-site at events. Participate in signature events, including any weeknights and weekends, as needed. Build a list of reliable caterers, venues, and entertainers. Help maintain an organized database of events, including dates, details, and follow-up actions. Create and maintain relationships with suppliers and partner organizations, ensuring mutual trust and open lines of communication. Assist Events Manager with tracking budgeting for all events. Provide administrative support to Events Manager. Produce and submit RTP (Request to Purchase) documents, including invoices, statements, and documents, to ensure completeness and accuracy. Education & Experience: Bachelor’s degree from an accredited college or university. Two (2) years of experience in events production. OR Three (3) years of experience in events production. Knowledge, Skills and Abilities: Microsoft Office Proficiency. Self-starter with excellent initiative and ability to initiate, plan and manage own projects. Strong organizational skills. Excellent attention to detail, regarding record-keeping. Ability to communicate efficiently and effectively. Able to adapt and overcome, achieving tasks in high pressure, low time situations. Ability to research event venues, entertainment, and caterers in a quick and timely manner. Language: Bilingual fluency (preferred). Position Type, Salary and Typical Hours of Work: Regular | Full-time. Work Environment and Physical Demands: This position requires a significant amount of time outdoors and exposure to a variety of environmental and extreme weather conditions. This position also requires traveling to parks located throughout the precinct and at long distances. The ability to work outdoors during all seasons and to drive safely is essential. The ability to operate standard office equipment and software platforms is required. Essential functions involve significant physical demands related to repeated lifting of up to 50 pounds unassisted, 100 pounds with assistance rarely; carrying tools, materials, and equipment over rough terrain; climbing, reaching, and bending. Frequently to walk, sit, talk, drive, hear, bend, stoop, twist, and balance.
