The Role: Receptionist

Position Summary

Operates corded or cordless switchboard to relay incoming, outgoing, and interoffice calls by performing the following duties.

Primary Duties and Responsibilities

Answers main line for Orora, and relays calls to the correct person or department. This is to include calls for OPS, Pollock Orora and other Orora entities. Answers incoming calls on multi-line switchboard.

Distribution of mail and packages, and inter-company documents.

Scanning of mail received for Accounts Payable department

Distribution of physical pay checks.

Manage conference room reservations.

Set up and tear down for onsite meetings.

Coordinate with various Orora departments to set up catering and other needs for meetings.

Order office supplies as needed.

Manage expense reporting for meetings and office supply orders.

Manage the interoffice communications to include TV displays and other materials announcing company programs.

Maintain the orderliness of the lobby and public areas to include watering plants, ensuring things are picked up, bussing trash from meeting rooms after events.

Will be required to process and mail statements, checks, bids, daily invoices, and other items as required on a daily, weekly and monthly basis.

Run required monthly reporting for mailroom

Relay messages to company personnel using computer terminal.

Performs clerical duties such as typing, proofreading, opening/processing and sorting mail, faxing and emailing.

Receives visitors and obtains name and nature of business and notifies coworker.

Operates postage meter and stamps daily out going mail.

Assist Safety department with record keeping and reporting.

Performs other duties and/ or responsibilities as assigned.

Qualifications

Required Qualifications:

Education and Experience:

High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience.
