Description
The Special Events Coordinatoris responsible for facilitating, executing, and managing all special events, and major fundraisers for ForKids. This includes coordinating support from other members of the Development Team and ForKids staff as necessary to attract resources for the agency's priorities and ensure adequate support for events. Primary events include, ForKids Children's Art Auction, Field Day, Phoenix Awards, and Day of Caring.
RESPONSIBILITIES
- Create and maintain an event schedule detailing goals, task lists, RSVPs, timelines, budget, milestones, and post event outcomes for all special events.
- Create and maintain a detailed revenue and expense budget, to include fundraising goals, itemized expenses, revenue/expense tracking, and reporting.
- Assist with negotiations for space contracts and book event space, arrange food and beverage, order supplies and audiovisual equipment, order event signs, and ensure appropriate dcor (florals, linens, color schemes, etc.) to meet the quality expectations of each individual event.
- Manage on-site production and clean-up for events as necessary.
- Coordinate the Special Events committee and serve as secretary; prepare agendas and keep detailed minutes.
- Prepare and present pre-event goals and post-event analysis to assess opportunities and make recommendations for improving service to internal and external constituencies and implement those improvements as appropriate.
- Communicate with donors and convey a positive and professional image, especially in high-pressure situations, and demonstrate the highest level of personal and ethical standards.
- Work with the Development Team to maintain marketing materials to ensure consistent delivery and distribution of agency information to the public (i.e. brochures, statistics, trends, stories, etc.).
- Other duties as assigned.
- Provides service to internal and external customers according to standards as outlined in ForKids Customer CARE Manual.
- Uses agency resources (financial and non-financial) prudently.
- Acknowledges and follow financial policies of the agency.
- Accurately completes all required data reporting in accordance with established guidelines.
- Participates in all scheduled data collection trainings.
- Participate in development and fundraising activities as needed and requested (ex: meeting with donors, providing tours, attending fundraising events).
- Regularly engage, support and collaborate with volunteers to provide a meaningful experience.
Education and Experience: Bachelor's degree, and a minimum of 2-3 years demonstrated experience in special events and/or corporate relations, experience with a non-profit is preferred.
Essential Functions, Knowledge, Skills and Abilities:
- Excellent project management, organizational, interpersonal and networking skills as they pertain to managing a special event.
- Knowledge of cultivation, solicitation, and stewardship strategies and techniques, particularly in the area of corporate fundraising.
- Ability to maintain a high level of poise and professionalism in all circumstances.
- Excellent written and verbal communication skills and the ability to work effectively with a wide range of constituencies in a diverse community.
- Self-motivated and disciplined to regularly set and achieve work goals, while also being highly adaptable and able to shift in timing and priorities.
- Demonstrated ability to take primary responsibility for diverse number of projects and to complete them in a timely manner and with limited supervision.
- Valid driver's license with no more than three minor driving violations and/or accidents combined within the last three years, and no major moving violations in the past three years.
