Key Areas of Responsibility

The Director of Executive Communications and Governance is responsible for managing and coordinating the activities of IAAPA’s global board of directors, officers, task forces, and committees, ensuring they operate efficiently and effectively in accordance with legal, regulatory, and organizational requirements. This individual will support effective communication, organization, documentation, and the planning needed to maintain a best-in-class governance operation for the association.

Essential Duties and Responsibilities: Develop board, task force, and committee logistics information, meeting agendas, pre-reading materials, presentations, and meeting minutes in conjunction with the president and CEO, the chief governance officer, the chief commercial and financial officer, and the chief membership officer. Create, track, and manage action items from board, task force, and committee meetings. Ensure all communications are clear, high-quality, error-free, and effective and align with IAAPA brand and style standards. Create engaging, modern, and visually appealing presentations for board and committee meetings. Provide resources, support, and concierge-level customer service to all IAAPA board, task force, and committee members to help them fulfill their roles. Manage the orientation and onboarding program for new officers, board members, and task force and committee liaisons and chairs. Coordinate, plan, and execute board, task force, and committee meetings with the support of the IAAPA meeting planning team. These responsibilities include setting up registration, advance communications, travel, hotel accommodations, ground transportation, meeting room setup, food and beverage, audio visual, and presentation content and delivery. Create initiatives to enhance the IAAPA volunteer experience; find new ways to recruit, engage, manage, and thank volunteers. Manage the annual processes associated with board member applications, selection, and notifications; task force and committee chair and member selection; and the IAAPA Hall of Fame Award program. Provide direct support for the global board of directors, task forces, and committees including the governance committee, finance committee, the advisory board, and the IAAPA Foundation board as their liaison, co-liaison, or administrator. Maintain and update governance documents, including bylaws, policies, and procedures with the assistance of legal counsel, the chief governance officer, and the governance committee. Ensure compliance. Monitor and advise on best practices in association governance and recommend improvements. Partner with the executive assistant on travel planning and expense tracking/reimbursement for officers and the global board. Develop and manage expense budgets for all activities in areas of responsibility. Identify, negotiate with, contract, manage, and evaluate outside vendors as needed. Support IAAPA Foundation activities including communications, marketing and promotions, fundraising, events, and execution. Additional duties and projects as assigned. Qualifications, Knowledge, Skills Required:

Bachelor's degree in communications, public relations, business administration, law, or a related field. Minimum of five years of communications, non-profit governance, compliance, administrative, or other related experience. Excellent writing, proofreading, and editing skills, including a working knowledge of AP Style. Excellent organizational, communications, and interpersonal skills. Experience planning, executing, and managing complex meetings and events. Strong customer service focus and skills, including experience working with and supporting senior executives. Complex project management experience including proven ability to meet deadlines, manage multiple projects at once, and be detail-oriented all at the same time. Commitment to producing high-quality work and continuous improvement. Ability to manage multiple priorities, solve problems, and work under pressure. High level of integrity and professionalism. Demonstrated experience managing and safeguarding confidential information. Proficient in using Microsoft Office (Word, PowerPoint, Excel, and Outlook); expert-level PowerPoint skills preferred. Proficient user-level experience and comfort working with business technology. Experience with and/or willingness to learn databases, customer relationship management systems, board management software, and email distribution programs essential. Ability and willingness to travel internationally and to work outside a traditional 9 a.m.-5 p.m. work schedule to accommodate the global needs of the association. ADA Specifications:

This position is in the Orlando, Florida, headquarters office of IAAPA with occasional domestic and international travel (10-15%) required to support IAAPA events. The position is primarily sedentary and may require extensive physical mobility (including bending and lifting) and the ability to hear, speak, and communicate audibly.

After an initial six-month training period where the director will need to be in the Orlando office four-five days a week, the director must work in the office Tuesday, Wednesday, and Thursday but can work remotely on Mondays and Fridays with approval.
