Job Description: As an Assistant Event Coordinator at Initial Communications, you will play a vital role in assisting with the planning, coordination, and execution of marketing events. You will work closely with our team to ensure the seamless delivery of high-quality events that effectively promote our clients' brands and engage their target audience.

Salary range: $20.50 - $31.50 per hour

Key Responsibilities
  • Event Logistics: Assist in coordinating all aspects of event logistics, including venue selection, catering, audiovisual setup, and transportation arrangements.
  • Vendor Coordination: Liaise with vendors, suppliers, and contractors to secure services and ensure timely delivery of materials and equipment for events.
  • Event Promotion: Assist in developing promotional materials and strategies to attract attendees to events, including social media campaigns, email marketing, and advertising.
  • On-Site Support: Provide on-site support during events, including setup, registration, attendee assistance, and coordination of event activities.
  • Client Communication: Maintain regular communication with clients to understand their event objectives, preferences, and requirements. Provide updates and seek approvals throughout the event planning process.
  • Budget Management: Assist in managing event budgets, tracking expenses, and ensuring cost-effectiveness while maintaining high-quality standards.
Skills, Knowledge and Expertise
  • Bachelor's degree in Marketing, Hospitality Management, Event Planning, or related field.
  • Strong organizational and multitasking skills, with the ability to manage multiple projects simultaneously.
  • Excellent communication and interpersonal skills, with a customer-focused approach.
  • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint) and event management software.
  • Detail-oriented mindset, with a commitment to delivering high-quality results.
  • Ability to work independently as well as part of a collaborative team in a fast-paced environment.
