Please find the full job description below. ____________________ POSITION OVERVIEW: **This role is based in San Rafael, MARIN COUNTY, NORTHERN CA.** Ritter Center is hiring its first dedicated Client Events Coordinator role. This position organizes a series of fall and winter events that provide essential supplies, food, financial support, and joyful experiences for hundreds of our clients who are experiencing homelessness or living in poverty. Working closely with the Advancement and Pantry teams, the Client Events Coordinator will oversee the Back-to-School-Backpack event, Women’s Health Day, and three holiday-themed events. The position requires expertise in event planning, logistics, budgeting, donation solicitation, volunteer management, and proactive problem-solving. Strong proficiency in Excel, Google Sheets, and project tracking software for creating and adhering to budgets, workflows, and timelines is crucial. The ideal candidate is adept at running effective meetings, collaborating across departments, and interacting with diverse groups of people. A welcoming demeanor, good humor, and patience are essential when engaging with staff, volunteers, community partners, and clients. This hybrid position requires some time onsite at both of Ritter Center’s locations in San Rafael and travel to and from storage and vendors. Job Duties and Responsibilities: Manage the budget, logistics, and implementation of Ritter Center’s client events from start to finish. Maintain and update all event processes, equipment/supply lists, registered client lists, and volunteer schedules. Order or source (seek donations) required materials, equipment, and supplies. Track and update event supplies inventory and purchase lists; store all items in weather-proof and labeled containers. Work with Marketing staff to plan and schedule event promotions. Collaborate with Advancement staff to recruit, schedule, train, and manage event volunteers using the POINT volunteer app. Coordinate with Pantry staff to register clients via online forms for events. Provide client gift card recipient lists for accounting post events. Schedule and run weekly event planning meetings. Organize post-event review meetings and update workflows. Attend regular supervisory meetings, staff meetings, and training as scheduled. Adhere to the goals, objectives, and personnel policies of Ritter Center. Perform other duties as assigned. QUALIFICATIONS & REQUIRED SKILLS: Per our Federally Qualified Healthcare Center (FQHC) requirements, employment at Ritter Center requires compliance with being able to produce a negative TB test prior to the start of employment and being?fully vaccinated against COVID-19?(unless applying for an exemption) per the August 5th, 2021 State Public Order for Healthcare Facilities, providers, and employees. 2-3 years of events coordination experience. Proven track record in successfully executing public-facing events with 100+ attendees. Demonstrated skills in project management, budget management, and workflow development. Highly organized, detail-oriented, and customer-focused Strong critical thinking, analytical, and problem-solving abilities. Ability to multitask and maintain accurate records and logs. Proficient in procurement, purchasing, and negotiation. Experienced in volunteer management. Advanced computer skills in Excel, Word, Outlook, databases, and website navigation. Excellent verbal and written communication skills. Strong interpersonal skills with a collaborative work style and proactive approach. Commitment to high professional, ethical standards in a diverse workplace. Ability to handle clients’ sensitive information with discretion and adhere to HIPAA standards. Dedication to social equity and alignment with Ritter Center’s mission. Valid and clean driving license.
