Job Description

Summary: Plan, perform, organize, coordinate and participate in auditing multiple payroll disciplines by performing the related duties and responsibilities. Providing consultation and advice to management on tax, compliance, and emerging trends within HRIS. Plan, perform, organize, coordinate and participate in long term and short term business objectives in maintaining business and compliance needs.

Essential Duties and Responsibilities: (other duties may be assigned in addition to the list below)

  • Coordinate and participate in Quality Assurance audits to ensure compliance with labor laws and alert Payroll team of discrepancies
  • Manage and process quarterly Multiple Work Site reporting
  • Perform tax setup with multiple US jurisdictions, Canada and ADP, maintaining account information for life of maintenance needs
  • Organize accurate and timely processing of tax payments for US and Canadian tax withholdings and unemployment taxes.
  • Research and respond to State and Local tax agency tax notices.Research and respond to complex inquiries related to payroll taxes, deductions and wage withholdings and implementing changes to maintain compliance. Determine the sources of inaccuracies and develop and implement methods to prevent errors from reoccurring.
  • Remain current on payroll tax guidelines utilizing BNA, APA and CPA, and other payroll and payroll tax publications to ensure ongoing compliance with all payroll tax laws and regulations, interpreting polices and providing consultation or advice to management and implementing policies to maintain compliance.
  • Processing of daily manual checks and positive pay reporting
  • Reporting as required for regulatory agencies, auditors, internal customers and litigation
  • Reconciliation and coding of various payroll dept invoices
Other Duties and Responsibilities:
  • Processing of Third Party Sick Pay.
  • Lead tax testing of HRMS tax releases, and year-end W2 and T-4, preparation, reconciliation, corrections and filings,
  • Lead the reconciliation of Federal/State/Local, and/or Provincial tax authorities using ADP Smart Compliance payroll software. Validate/reconcile complex tax returns including monthly, quarterly, and annual SUI and wage data files.
  • Create, process, and reconcile annual withholding returns for US and Canada including W-2, T-4, and RL-1s by due dates. Reprint W-2s and T-4s as requested.
  • Research out-of-balance issues and colleague inquiries.
  • Correct reconciliation errors where needed and prepare/file amended returns as necessary.
  • Tax team leadership on special projects as required, including: acquisitions, mergers and divestments, internal and external audits, and W2 and W2c balancing.
  • Assist with setup and access to HRIS and timekeeping systems. Interpreting, developing and implementing management policies with business partners.

Qualifications:

Education/Experience:

Bachelor's degree in a related field, or 2 years of related experience, preferred but not required. Excel intermediate to advanced capabilities (including formulas, pivot tables, macros, analysis). Experience with electronic time attendance systems (Kronos is preferred)

Certificates and Licenses:

FPC or CPPP preferred

Supervisory Responsibilities:

This job has no supervisory responsibilities.

Computer Skills:

To perform this job successfully, an individual should have intermediate to advance knowledge of the Microsoft Suite of products. Intermediate to advanced knowledge of ADP, ADP Reporting and Kronos a plus. Ability to effectively use web-based and internet applications required.

Language Ability:

Ability to read and interpret documents such as system configuration manuals, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.

Math Ability:

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

Reasoning Ability:

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
