The Purchasing Specialist is responsible for generating, tracking, and maintaining complete and accurate purchasing records.

Detailed Description:

Responsibilities

  • Maintain direct contact with lab supply vendors to setup accounts Obtain proper information and/or data regarding new vendor setup.
  • Liaise with laboratory staff on procurement of lab supply orders.
  • Create PO in JD Edwards, follow through for completeness.
  • Analyze, code, and process PO and non-PO invoices. Ensure proper supporting documentation is provided prior to submission for approval.
  • Maintain approved vendor lists and policies to prevent unauthorized invoice payments.
  • Verify invoices against purchase orders and ensure services were received before submitting invoices for payment (i.e Conduct 3-way matching)
  • Clarify any questionable invoice items, prices or receiving signatures, ensuring billing accuracy.
  • Maintain copies of vouchers, invoices or correspondence necessary for files
  • Assist with the verification of budget funding on government contracts.
  • Work with R&D personnel to process contract base PO and obtaining fully executed contracts.
  • Coordinate with corporate office on vendor payments.
  • Manage invoices to ensure prompt and accurate responses to vendor queries.
  • Track and calculate use tax.
  • Assist in maintenance of company contracts drive.
  • Support the accounting team, interim and year-end audit requests, special projects, and ad hoc requests.
  • Assist in month-end closing activities.

Minimum Qualifications

  • Associate degree and/or Bachelors degree in Accounting, Finance or a related discipline preferred, with a minimum of 5 years of experience in purchasing or relating discipline; or equivalent combination of education and experience.
  • Experience in small biotech companies preferred.
  • Excellent communications and interpersonal skills
  • An attention to detail and ability to effectively collaborate and communicate with internal team members and external partners.
  • Proficiency in Microsoft Office Suite, including strong Excel skills, and a strong understanding of General Ledger systems.
  • A highly motivated self-starter with the ability to multitask and work both independently and within a team.
  • Strong organizational, analytical, and record-keeping skills.
  • This position is required to work on-site in San Diego, CA.
