Position Summary
  • Oversee the procurement and shipping requests for laboratory supplies, including managing invoices.
  • Research and liaise with suppliers to fulfill project-specific requirements.
  • Maintain comprehensive records of purchasing activities, vendor registrations, and documentation.
  • Solicit and evaluate quotations for price comparisons and vendor negotiations.
    Prepare necessary documentation and collaborate with the Finance Purchasing team to facilitate the internal purchase order process.
  • Proactively track purchase order statuses and coordinate with vendors regarding estimated delivery times.
  • Log new orders into the JIRA system for tracking and maintain the lifecycle of these entries.
  • Manage the Confluence space for the team, ensuring proper documentation of HR, legal, and project-related information.
  • Provide administrative assistance to the lab leadership and management; handle HR functions such as onboarding and resolving employee relations matters.
  • Organize and support team-building events.
  • Collaborate with Finance and Accounting departments for invoicing and payment processing.
  • Conduct physical audits and assist the asset management team with regular inventory checks.
  • Prepare for and manage incoming shipments, ensuring accuracy in received items against packing lists.
  • Execute ad hoc tasks as directed by on-site management.
  • Foster and maintain professional relationships to exceed client expectations in routine and project activities.
  • Mentor and train team members, suggesting process improvements.
Compensation: $28 to $32/hr

Qualifications
  • Proactive and self-motivated individual comfortable managing multiple tasks in a collaborative environment.
  • Minimum of 5 years of experience in purchasing and inventory management.
  • Experience in administrative roles with strong spreadsheet proficiency.
  • Excellent verbal and written communication skills, capable of interacting professionally with diverse personnel.
  • Strong analytical and problem-solving abilities.
  • Proven ability to meet deadlines and deliver results.
  • Exceptional organizational skills and attention to detail, with a commitment to following established procedures.
  • Able to work independently while being part of a larger global team.
  • Capable of multitasking in high-pressure situations and taking ownership of projects from initiation to completion.
  • Willingness to provide after-hours and weekend support as needed.
Education
  • High School diploma or equivalent required.
  • Preferred: 2-year technical degree or equivalent work experience.
  • Willingness to learn new technologies and apply this knowledge as it develops.
  • Ability to lift up to 50 lbs.
  • Capability to transport equipment between data centers and laboratories.
  • Familiarity with Confluence, Microsoft Windows, and various Linux operating systems.
