Position Summary:

The Special Events Manager is responsible for hosting unforgettable events in an exciting and unique environment that allows us to connect our community with nature and wildlife. These promotional events extend the Cincinnati Zoo & Botanical Garden's brand and help meet our objective of "inspiring people with wildlife every day" through fun, interactive opportunities to experience the zoo beyond a typical visit.

This role is key to our success in attracting visitors throughout the year. The Special Events Manager is the "conductor" of the event orchestra - overseeing planning, implementation, and collaboration between all zoo team members and partners who unite to deliver on our unique event promise.

The key roles and responsibilities

will include but not be limited to the following:

Coordinate and manage all the zoo's public, promotional events from start to finish to exceed visitor expectations, such as Festival of Lights, Toast of the Wild Events (Bourbon Flights, Wild About Wine, Zoo Brew), Tunes & Blooms Concert Series, Breakfast with the Animals, ZooLaLa, Zoofari, etc.

Set, communicate, and maintain timelines and priorities for all zoo events.

Manage events onsite and offsite to ensure all logistics are carried out flawlessly.

Supervise the Events Team to ensure vision and strategy is set and exceeded for all zoo events, while ensuring a positive team culture of celebrating wins and coaching for success.

Provide support to the Group Experience Manager, Event Coordinator, Public Event Operations Coordinator, and Event staff (full-time, part-time and volunteer).

Work with staff from other departments and outside vendors to plan and implement events, providing all communication and direction necessary.

Schedule all auxiliary personnel for events.

Provide event expertise throughout the zoo, consulting and assisting with other zoo events. Ensures event best practices are followed throughout the zoo so each touchpoint sparks an INSPIRED experience.

Handle unexpected or last-minute situations that arise, using problem-solving and customer-service skills.

Responsible for preparing accurate budgets for all events and effectively manage expenses.

Process necessary paperwork and order all supplies needed for each event in a timely manner.

Work closely with the Development Department to ideate and execute shared events (such as Zoofari and ZooLaLa) and on-site activations. Provides development event support as needed.

Work closely with the Marketing department to conceive new event ideas and to promote current events.

Work closely with Visitor Experience, Park Services, Public Safety, IT, Animal, Maintenance/Facilities, Horticulture, Sustainability, Conservation, SSA Food/Retail/Catering/Private Events teams to operationally execute events as planned, supporting the mission.

Work with sponsors, donors, partners, vendors, and Purchasing team to procure event supplies, entertainment, and permits.

Ensure event supplies/inventory is organized. Plan ahead for storage needs. Ensure set-up and clean-up happens for all events, chipping in where necessary to support the full zoo team.

Work with HR and Admin team to plan and execute internal employee events to enhance engagement.

Holistically oversees the zoo's internal/external calendar (Event Memo) and internal room bookings.

Research new ideas in the industry to stay up to date on trends to implement at our zoo, while networking with others to share best practices.

Always looking to build efficiencies.

Desired Qualifications

Education & Experience

A Bachelor's degree in marketing, communications, business, events, or a related field is desired.

A minimum of three years successful experience in the events field. Specific attraction, leisure, or hospitality industry experience is a plus.

Previous experience leading a team and project managing required.

Demonstrated experience in building collaboration among cross-departmental teams.

Proven experience in budget control is highly desired.

Familiarity with ticketing, database, CRM systems a plus (i.e. Gateway's Galaxy and Microsoft Dynamics).

Equivalent combinations of education and experience sufficient to successfully perform the essential duties of the job will be considered.

Working Conditions /Other Requirements:

Employment is contingent upon successful completion of a post-offer, pre-employment drug & nicotine screen, TB test, and background check.

While performing the duties of the job, the incumbent is regularly required to stand, walk, and have the manual dexterity to use computer mouse and keyboard. The incumbent may be exposed to outside weather conditions and must be able to lift/move/carry up to 35 pounds without assistance, must possess a valid driver's license and be insurable to drive a Zoo vehicle.

Ability to work nights and weekends, when required for events. Must be able to perform physical labor to assist as needed with event set-up.

Position Details:

This is a full-time, overtime-exempt, and eligible for the Zoo's benefit programs for non-union employees.
