General Functions
The Recovery Services (RS) Grants Coordinator is responsible for supporting the Grants and Planning Manager with monitoring and coordinating all phases of grants from award through close-out, including grants administration, implementation, compliance, and reporting. The RS Grants Coordinator is also be responsible for providing oversight of Recovery Services contracts, MOAs, and sub-recipient agreements.

Duties and Responsibilities
Grants Coordinator:
Support the preparation and submission of all required reports.
Coordinate with Grants and Planning Manager to ensure compliance with due dates for submission of budget, technical and programmatic reports to federal, state, and private funding agencies.
Engage with Grants and Planning Manager to revise program budgets throughout the year and life of the project (s).
Monitor progress and work with management to ensure grant funds are meeting conditions and expectations of the grant.
Monitor project and program spending to ensure compliance with state and federal guidelines, in addition to supporting annual spenddown.
Support creation of line item budgets for program managers and supervisors.
Support the development and revision of policies and procedures as new grants are awarded.
Support Grants and Planning Manager with the management of the internal grant tracking and reporting systems that ensure timely completion of required reporting.
Responsible for updating and revising Recovery Services contracts, MOAs, and sub-contractor agreements.
Responsible for obtaining and processing invoices surrounding grants and/or contracts.
Work as a liaison between Recovery Services and CITC accounting, compliance, and legal teams. Participate in training sessions and webinars associated with funded projects as needed.
Establish and maintain effective working relationships.
Perform all related duties as assigned.
Sr. Grants Coordinator:
Perform all duties and responsibilities of the Grants Coordinator with an advanced level of proficiency.
Work as a Senior liaison between Recovery Services and CITC accounting, compliance, and legal teams, and address escalated situations as needed. Participate in training sessions and webinars associated with funded projects as needed.
Provide support and guidance to Grants Coordinator as needed.
May serve as acting supervisor/manager during supervisor/managers absence.
Perform all related duties as assigned.
Job Responsibilities Related to Participant Privacy
Employee is expected to actively participate in CITC privacy training and to protect the privacy of participant information in accordance with CITC's privacy policies, procedures and practices, as required by federal and state law. Failure to comply with CITC's policies and procedures on participant privacy may result in disciplinary action up to and including termination of employment.
Employee may access protected health information and other participant information only to the extent necessary to complete job duties. Employee may only share such information on a need to know basis with others who have job responsibilities related to treatment, payment, or other CITC operations.
Employee is encouraged and expected to report, without the threat of retaliation, any concerns regarding CITC's policies and procedures on participant privacy and any observed practices in violation of the policy to the designated Privacy Officer.

Minimum Qualifications:
Grants Coordinator:
Bachelors degree in public administration, business administration, planning, or closely related field. Relevant experience may substitute for the educational requirement on a year- for-year basis.
Three (3) years experience in grant management, contracts management, program development, or and/or community planning.
Sr. Grants Coordinator:
Bachelors degree in public administration, business administration, planning, or closely related field. Relevant experience may substitute for the educational requirement on a year- for-year basis.
Five (5) years experience in grant management, contracts management, program development, or and/or community planning.
Minimum Qualifications for All Levels:
Continued employment is contingent upon completion of a satisfactory state and federal fingerprint criminal background check.
Physical Requirements:
Primarily works in an office setting, with extended periods of time at a desk and on a computer.
