How we LEAD:

We are seeking a A&R/Marketing Coordinator to provide support to the Def Jam A&R and Marketing teams. This is unique position (based in NYC) where the incumbent will split their time evenly between both departments. The primary responsibility will provide strong administrative support to two executives within the labelthe EVP, of A&R and the Sr. Director of Marketing. This individual must be very efficient and highly detail oriented; multitasking and working on tight deadlines in a fast- paced environment is crucial.

The ideal candidate will come from music or entertainment and have previous experience supporting multiple executives, working across multiple departments. As an member of the Def Jam family, the individual must have a passion for hip-hop R&B, and equally as important, must have a solid understanding of the influence Def Jam brings to the culture, community and industry.

How you'll CREATE:

Administrative Support

  • Maintaining high-demand schedules and calendars for two executives
  • Managing the executives' daily calendar, including scheduling meetings, putting together travel itineraries, event logistics (including client outings), able to identify key issues and (re)prioritizing the schedule accordingly.
  • Meeting coordination - managing appts/reservations with internal and external partners, studio or room bookings (including external locations)
  • Handle all assets and information needed for meetings; provide agendas, update materials (decks, one-sheets, trackers, etc.), manage video conference, and play music submissions
  • Manage monthly expense reconciliation and processing
  • Will serve as the point person to manage and process vendor invoices and route vendor contracts
  • Meeting of guests and help with general queries
A&R
  • Coordinating records (keeping track of sessions; sending/receiving files for mixing and mastering, booking studios and maintaining recording budgets
  • Manage/schedule studio sessions for A&R executives, artists and management
  • Assist with operational logistics with regards to Def Jam record releases
  • Provide additional support to A&R department as required/requested
  • Actively participate in team meetings, discussions - comfortable with searching for leads for new/upcoming signings
  • Attend artist showcases with and/or on behalf of A&R executives
  • In partnership with Marketing Dept, create and update artist materials (one-sheets, decks, etc.)
  • Other duties as assigned
Marketing
  • Support product manager in the execution of marketing plans and strategy
  • Create and update all one-sheets, marketing decks, timelines, quote sheets, and any other project-related documents
  • Collect and organize all artist assets (photos, artwork, logos, music, bio, etc.)
  • Submit and monitor art or video requests to completion for any marketing assets needed (invites, posters, pseudo videos, etc.)
  • Shipping coordination
  • Coordinating marketing tools and assets for campaigns
  • Working closely with product manager, manage campaigns of new/upcoming artists
  • Actively participate in team meetings, discussions, and planning activities
  • Other duties as assigned
Bring your VIBE:
  • 1-2 years of experience in office administrative capacity (within the music industry (a&r, marketing, or creative) preferred)
  • Experience working with Microsoft Word - Excel, PowerPoint and Outlook.
  • Proficiency in Adobe creative suite (Photoshop, Illustrator, After Effects, Premiere) preferred
  • Ability to interact comfortably and effectively with employees of the company at all levels including Executive Management
  • Ability to interact comfortably and effectively with external partners and clients
  • Excellent verbal and written communication skills
  • Strong analytical approach to problem-solving
  • Must be self-motivated, proactive, resourceful
  • Extremely well organized and strong time-management skills
  • Ability to work independently and as part of a team in a fast-paced environment; must be able to work under time constraints
  • Ability to multi-task and juggle competing priorities
  • Ability to keep information confidential
  • Ability to travel as needed/requested
  • Experience supporting more than one senior executive is preferred
  • Bachelor's Degree preferred
