Our Leadership Approach:

We are in search of an A&R and Marketing Coordinator to assist our Def Jam A&R and Marketing teams. This distinctive role will involve an equal division of responsibilities between both sectors. The primary focus will be to deliver robust administrative support to two key executives within the label: the EVP of A&R and the Senior Director of Marketing. The ideal candidate must exhibit exceptional efficiency and attention to detail, with the ability to multitask and thrive under tight deadlines in a dynamic environment.

The perfect fit will have a background in music or entertainment, with prior experience in supporting multiple executives across various departments. As a member of the Def Jam team, a genuine passion for hip-hop and R&B is essential, along with a solid understanding of Def Jam's cultural and industry impact.

Your Responsibilities:

Administrative Support

  • Oversee demanding schedules and calendars for two executives.
  • Manage daily calendars, including meeting arrangements, travel itineraries, and event logistics.
  • Coordinate meetings, managing appointments and reservations with internal and external partners.
  • Prepare all necessary materials for meetings, including agendas and updates.
  • Handle monthly expense reconciliation and vendor contract processing.
  • Serve as the point of contact for vendor invoices and general inquiries.
A&R Duties
  • Track recording sessions and manage files for mixing and mastering.
  • Schedule studio sessions for A&R executives and artists.
  • Assist with operational logistics related to record releases.
  • Support the A&R department as needed.
  • Engage in team discussions and seek leads for potential signings.
  • Attend artist showcases on behalf of A&R executives.
  • Collaborate with the Marketing Department to create and update artist materials.
  • Perform additional tasks as assigned.
Marketing Responsibilities
  • Assist product managers in executing marketing strategies.
  • Create and update marketing documents, including one-sheets and timelines.
  • Organize and manage artist assets such as photos and bios.
  • Monitor the completion of art and video requests for marketing materials.
  • Coordinate shipping and manage marketing tools for campaigns.
  • Work closely with product managers on campaigns for new artists.
  • Participate actively in team meetings and planning sessions.
  • Undertake other assigned duties.
Your Qualifications:
  • 1-2 years of experience in an administrative role within the music industry is preferred.
  • Proficient in Microsoft Office Suite and Adobe Creative Suite.
  • Strong communication skills, both verbal and written.
  • Excellent organizational and time-management abilities.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Experience supporting multiple senior executives is a plus.
  • A Bachelor's Degree is preferred.
