Creative Services Project Intake Specialist

You love to play in traffic-marketing traffic

We're looking for a Project Intake Specialist for our new in-house Creative Services Team. We're seeking someone who has fun taking the wheel of a marketing project, steering things along nicely, and driving it to completion.

POWER Engineers is a fast-growing engineering and environmental consulting firm. We team together to help our clients plan, design, and execute their most challenging projects.

Our markets include electrical energy, renewable energy and storage, food and beverage, government services, industrial and chemical, and more. We've enjoyed remarkable success for over 45 years, and now we need your expertise to help us develop our new Creative Services Team into a smooth-running operation.
Your Roles and Responsibilities

You'll work with designers, copywriters, videographers, content producers, client partners, and more to ensure seamless and timely project delivery.

To deliver a best-in-class experience, you'll regularly communicate with the Creative Services Team and project stakeholders to ensure schedules are aligned and the work gets assigned promptly.

There are a lot of moving parts, but that's what you love most-the opportunity to bring it all together

Specific duties include:
  • Own and manage the workflow platform (Monday.com) and evangelize its use to others
  • Regularly communicate with our internal clients, marketing strategists, and other team members to provide updates on projects
  • Facilitate completion of creative briefs as required, to enable the creative process to move forward
  • Assign time estimates for work, with assistance from the Creative Services Management
  • Schedule project kick-off meetings when necessary
  • Manage multiple projects simultaneously, prioritizing tasks, and meeting deadlines
  • Provide project management assistance to help collect assets, troubleshoot missing elements, and assist internal partners with shepherding projects through the pipeline
  • Coordinate photographers, videographers, designers, and other creatives to plan, schedule, and execute production events such as photo and video shoots
  • Coordinate with the communications team (content, tradeshow) and other cross-functional groups to facilitate requests as needed
  • Champion the brand by informing others of use standards and guidelines, ensuring compliance by consulting and redirecting as needed
  • Take on special projects as assigned
What We're Expecting
  • Expert knowledge of creative services workflow practices within an agency and or in-house setting.
  • Customer-oriented and detail-obsessed
  • Proactively and readily inform stakeholders of changes, in a decisive yet collaborative and helpful manner
  • Communicate clearly with internal clients, team members, and freelancers
  • Negotiate schedules and diplomatically push back (with a smile) when necessary
  • Knowledge of a variety of graphic design production practices including the digital space, video, and print within a marketing, design or agency setting
  • Professional experience troubleshooting problems, completing creative requests, negotiating timelines with stakeholders, managing resources, and communicating at critical intervals throughout the full project life cycle
  • Experience with all phases of the production workflow cycle and communication touchpoints to deliver a customer-first experience
  • Rise to expert level with Monday.com in a short amount of time (or alternative workflow platform) via training and developing the vendor relationship
  • A degree in Marketing, Graphic Design, Advertising or Communications preferred
What Skills You Bring
  • Excellent communication skills, including the ability to write and speak clearly
  • Ability to manage multiple projects, be highly organized, and keep track of who is doing what
  • Highly adept at planning and organizing tasks, able to accomplish a lot of work in a short amount of time
  • Capacity to solve problems as they come up and look for ways to continuously refine efficiency and improve processes
  • Capable of exercising judgment necessary to manage optimum work levels, competing priorities, and shifting deadlines
At POWER Engineers, you can have a rewarding career on every level. Our philosophy is simple: Do Good. Have Fun. Build Success.

You'll work on fun and challenging projects and initiatives. You'll have the chance to make a positive impact on society and the environment. And you'll find the support, coaching and training it takes to advance your career.
