Our Marketing group is growing, and we are searching for a Proposal Coordinator to work collaboratively with business development, engineering project managers, and the marketing department on proposals and presentations. The successful candidate is creative, organized, and a detail-oriented self-starter with a strong work ethic and passion for producing high-quality work. The ideal candidate must possess meticulous attention to detail, exceptional writing and page layout skills, and the ability to ensure the highest standards in proposal quality. Responsibilities

  • Manage proposal schedules: Keep internal staff and subconsultants on task, review, organize, and edit written documentation to improve clarity and precision.
  • Coordinate with subconsultants and specialized consultants: Ensure all materials meet the highest standards of accuracy and presentation.
  • Work with internal project managers, technical staff, and marketing staff across the firm: Gather and curate content for proposals and marketing initiatives with precision and attention to detail.
  • Coordinate and participate in conferences and professional industry events: Maintain a meticulous record of activities and follow-up tasks.
  • Assist other marketing personnel and technical staff with proposal and marketing tasks: Provide detailed-oriented support as needed.
  • Provide support to BD activities: Including capture planning, client feedback, CRM, etc., ensuring accuracy and thoroughness.
  • Other related marketing duties as needed: Execute tasks with a high degree of precision.
  • Work directly with the project manager and marketer/business developer: Coordinate with subconsultants and subject matter experts to ensure detailed and accurate proposals.
  • Complete government forms, client questionnaires, and qualifying statements: With meticulous attention to detail and adherence to submission requirements.
Requirements
  • Bachelor's degree from an accredited four-year college or university: In Marketing, Journalism, Communications, Graphic Design, or related field preferred; relevant marketing and proposal experience will be accepted in lieu of a degree.
  • Proficiency in Adobe InDesign and MS Office Suite required: Experience with other Adobe Creative Suite Programs (Photoshop and Illustrator) and Deltek/Vision CRM preferred.
  • Excellent writing, editing, communication, and organization skills: A must for ensuring clarity and precision in all proposal documents.
  • 1-3 years of proposal development experience with an AEC firm required: Engineering experience preferred.
  • Exceptional time management skills: The ability to organize and prioritize multiple simultaneous projects in a fast-paced environment with meticulous attention to deadlines.
  • Self-starter, self-scheduler, and team-oriented individual: Capable of working well with different personalities and professional styles, and with all levels of staff.
  • Ability to travel and work unscheduled overtime: Sometimes on tight deadlines, with a commitment to accuracy and excellence.
