Key Responsibilities:
  • Support the development of proposals, statements of qualifications (SOQs), and pre-qualification submissions: Ensure strict adherence to RFP/RFQ requirements, including layout and design, writing non-technical sections, proofreading, formatting technical sections, managing the entire submission process, and preparing interview materials.
  • Assist with proposal timelines: Keep internal staff and subconsultants on track, review, organize, and edit written documentation to enhance clarity and precision.
  • Collaborate with internal project managers, technical staff, and marketing personnel across the firm: Gather and curate content for proposals and marketing initiatives with a keen eye for detail.
  • Assist marketing staff and technical teams with proposal and marketing tasks: Provide detail-oriented support as necessary.
  • Contribute to campaign development: Work with the marketing team to generate creative ideas and concepts for marketing campaigns across various channels, including digital, social media, email, and print.
  • Manage company social media accounts: Schedule posts, monitor engagement, and respond to comments and messages with meticulous attention to detail.
  • Create and proofread proposals and social media content: Ensure clarity, accuracy, and consistency in all marketing materials.
  • Assist in planning and coordinating marketing events: Such as career fairs and trade shows, ensuring meticulous management of all details.
  • Perform other related marketing duties as required: Execute tasks with a high degree of precision.

Requirements:
  • Proven experience in marketing, proposal development, or related fields: Relevant experience is essential; a degree in Marketing, Journalism, Communications, Graphic Design, or a related field is advantageous but not mandatory.
  • Proficiency in Adobe InDesign and MS Office Suite: Experience with other Adobe Creative Suite Programs (Photoshop and Illustrator) and Deltek/Vision CRM is preferred.
  • Excellent writing, editing, communication, and organizational skills: Essential for ensuring clarity and precision in all marketing documents.
  • 0-3 years of proposal development experience with an AEC firm preferred: Engineering experience is a plus.
  • Exceptional time management skills: Ability to organize and prioritize multiple simultaneous projects in a fast-paced environment with meticulous attention to deadlines.
  • Self-starter, self-scheduler, and team-oriented individual: Capable of working effectively with diverse personalities and professional styles, and with all levels of staff.
  • Willingness to travel and work unscheduled overtime: Sometimes on tight deadlines, with a commitment to accuracy and excellence.
