SHAREHOLDER RECORDS ASSISTANT I, II

Reports to: Director of Regional Operations
Status: Regular, Full-time, Non-Exempt
Location: Anchorage, AK

JOB SUMMARY: This position provides support to the Shareholder Records team in daily tasks such as phone calls, daily mail, copying, scanning, records maintenance, and other projects as needed.

This is a two (2) level job progression in which there is complexity, accountability that the Shareholder Records Assistant is directly responsible for progressively more responsible and independent work experiences as part of the overall assessment of their ability and capability. Progression between job levels is based on performance on prior assignments and the demonstrated ability to successfully handle more progressively responsible assignments.

PRIMARY RESPONSIBILITIES

•Embraces the values of Aleut including honesty, integrity, accountability, respect, and perseverance.

•In a professional manner, receives and documents all incoming shareholder calls providing appropriate information to caller or routing caller to appropriate team member; take accurate and complete messages, ensuring timely delivery; and place calls as required.

•Receives facsimiles from the front desk and distributes them accordingly and sends all outgoing facsimiles as required.

•Records name and address changes in CRM.

•Assists Shareholder Techs with processing custodial accounts; and maintaining individual shareholder files.

•Assists at village conferences, annual meetings as well as other social and public events.

•Assist shareholders, descendants, and stakeholders with issues; escalate as necessary to appropriate team members.

•Works as a team attending all team meetings and trainings as required.

•Maintains professional and technical knowledge by continuing education; attending workshops; reviewing professional publications; and establishing personal networks.

•Performs all other duties as assigned.

KNOWLEDGE, SKILLS, AND ABILITIES

•Ability to accomplish multiple tasks by prioritizing the order of importance.

•Ability to maintain a high level of confidentiality.

•Ability to operate multi-line phone system, copiers, computer, fax machine, postage machine, etc.

•Ability to respond and work effectively with shareholders, descendants, board members, executives, managers, co-workers, and outside contacts.

•Ability to work independently with minimal supervision.

•Demonstrate initiative to seek out work when all assigned tasks are either completed or not requiring immediate attention.

•Excellent communication and interpersonal skills.

•Knowledge of office filling systems.

•Knowledge of standard office equipment and procedures.

•Maintain a professional and friendly demeanor.

•Proficiency with Microsoft Office programs including Word, Excel, Outlook, and PowerPoint.

•Willingness to ask questions for clarification when given a task or project.

MINIMUM QUALIFICATIONS

1. High school diploma or equivalent.

ADDITIONAL QUALIFICATIONS FOR A SHAREHOLDER RECORDS ASSISTANT II

1. One (1) year of related experience; OR equivalent combination of experience, education, and training; OR demonstrated proficiency as a Shareholder Records Assistant I.
