The Museum of Flight is seeking a creative, people person with sales and event planning experience to join its Private Events team. This position is perfect for someone who is looking to advance their career in venue management and event planning in a museum environment. The client experience is essential to our success and we are looking for a team member who is just as service-oriented. The right person has the skill set to work with a wide variety of clients, the ability to problem solve, and pays close attention to detail. The

Private Events Coordinator

supports the mission of The Museum of Flight by promoting, scheduling, and coordinating private events throughout the main campus. The Private events team manages and executes over 700 events annually, ranging in size from 10-5,000 guests that include, but are not limited to: meetings, conferences, corporate receptions, dinners, private celebrations, and Museum driven events. This role functions as a service-focused liaison both prior to and during client experiences and is responsible for clear and ongoing communication with Museum departments and other affected stakeholders. This position works to ensure client and vendor compliance with Museum policies and regulations while upholding high standards of customer service. Other duties include representing the Museum at professional/industry events and assisting with marketing the Museum’s private event spaces. Following is a summary of the essential functions for this job. Other duties may be performed both major and minor, which are not mentioned below. Specific activities may change from time to time. Work in conjunction with the Private Events team to generate event sales in fulfillment of annual departmental goals and strategic plans. Coordinate events from scheduling through completion including walk-through with clients and vendors and communication regarding all details with Museum departments and exclusive caterer. Act as liaison among Private Event clients, vendors, Museum staff and volunteers. Provide thorough and timely communication and coordinate with internal stakeholders in regards to necessary resources and details. Responsible for entering complete and accurate event data into databases and event management systems. Manage administrative duties related to all of event sales including contracts, invoicing, and monthly scheduling & reports. Act as onsite Event Coordinator for weekday and weekend events, as assigned. Contribute to planning efforts for all annual hosted Museum of Flight revenue generating events such as Hops & Props, Yuri’s Night, HangarFest, etc. Support various other Museum departments with in-house programs and events, as needed. Assist with developing marketing strategies and collaborate in the creation of Private Event collateral in coordination with department manager & Director of Sales and Events. Represent the Museum at industry events, as assigned. Assist the Private Events Manager with training and leading department staff. Perform other duties as assigned. Qualifications Education & Experience Associate degree or better in a relevant field preferred. A minimum of three (3) years of experience in successful planning and support of social and corporate events, sales, and customer relations. Experience in hospitality, at a museum, public attraction, or similar venue, a plus. Knowledge Knowledge of sales systems sales and databases such as TripleSeat, Outbound, a plus. Skills Displays exceptional interpersonal and customer service skills; ability to interact effectively, productively, and positively with a diverse customer base. Proven strong organizational skills with a high level of attention to detail. Displays excellent verbal and written communication skills. Proficiency in Microsoft Office Suite software and accurate data entry. Abilities Demonstrated ability to successfully manage a continuous workflow in a high-volume environment with competing priorities and simultaneous tasks. Ability to lead small and large diverse groups through successful planning and implementation of events. Demonstrated record of exercising sound independent judgement and maintain poise while under pressure. Demonstrated ability to identify and develop new markets and meet established sales targets. Proven ability to work independently and be self-directed in support of broader departmental and institutional objectives. This position works in an office environment with sedentary periods and repetitive wrist, arm, and finger movement. Ability to move through physical Museum campus spaces is required including occasionally outdoors in variable weather. On-site attendance is essential to perform some of the duties of this position. Paid-Time Off

Our paid time-off plans include 2 weeks of accrued sick leave and 2 weeks of vacation (80 hours each) per year, 10 paid holidays, and 2 floating holidays. Compensation

The salary range for this position is $24.00 - $34.00 per hour depending on experience. The Museum of Flight is committed to reflecting the diverse community around us.
