Front Desk Representative

Reports to: Office Manager / General Manager
Job Summary:
We are seeking a friendly and professional Front Desk Representative to join our team. The ideal candidate will be the first point of contact for our guests, clients, and employees, responsible for creating a welcoming atmosphere, managing administrative tasks, and providing exceptional customer service. You will handle various front office duties, including greeting guests, answering phone calls, handling inquiries, and managing appointments.
Key Responsibilities:
- Greet and welcome guests: Be the face of the company by greeting all visitors with a warm, professional, and friendly demeanor.
- Answer and direct phone calls: Handle incoming calls, answer general inquiries, and route them to the appropriate departments.
- Handle correspondence: Receive and distribute mail and packages, and manage any courier services.
- Maintain front desk security: Follow proper security protocols by logging in visitors and ensuring no unauthorized access to the building.
- Assist with administrative tasks: Perform data entry, filing, and other clerical duties as needed.
- Provide information and support: Offer information regarding office policies, procedures, and services to both guests and employees.
- Maintain the reception area: Keep the front desk and surrounding areas clean, tidy, and presentable at all times.
- High school diploma or equivalent.
- Proficient in MS Office Suite (Word, Excel, Outlook).
- Excellent communication skills (both verbal and written).
- Customer-service oriented with a professional and welcoming attitude.
- Strong organizational skills with attention to detail.
- Ability to handle multiple tasks and work under pressure.
