This position will remain open until filled.

Position Summary: The ASA Case Manager is responsible for providing person-centered care coordination for individuals with developmental and intellectual disabilities to promote a high quality of life.

Position Summary

Administrative Assistants are responsible for a wide variety of duties. Some administrative assistants may take on specialty duties or lead roles; however, their overall goal is to provide excellent internal and external customer service to every client, host home, biological family, visitor & employee of Ariel. Administrative Assistants typically work as part of a team.

Essential Duties and Responsibilities

Depending upon the employee's specific position they may participate in all or some of the tasks listed below, as directed by their supervisor:

1. Act as a receptionist: answering, screening, and responding to callers and directing calls to the appropriate staff members.

2. Ensure workstation and lobby area are clean and presentable to the public. Perform office duties as listed on the opening and closing procedures.

3. Maintain strict confidentiality with all records that Ariel Clinical Services has at its disposal.

4. Coordinate with the staff to ensure the purchase of food and/or beverage for meetings and events.

5. Coordinate, create, and maintain files for adult services which includes clients, host home providers, and vocational.

6. Coordinate the distribution of client file documentation to appropriate parties.

7. Regularly audit client and host home files to ensure compliance with Rules and Regulations and Agency Standard Operating Procedures.

8. Provide clerical or secretarial duties as necessary for the organization to operate efficiently.

9. Provide support to program manager and case managers to ensure their needs are readily and effectively met.

10. Complete archiving of data as needed.

11. Help and assist in preparation of trainings.

12. Assist in the recruitment of new host home providers.

Additional Duties and Responsibilities

1. Must work closely with other Ariel Programs and offices.

2. Performs other duties as assigned.

Requirements

Required Knowledge, Skills and Abilities

1. Clear, confident, and friendly phone voice and relationship within person visitors and employees.

2. Ability to provide reliable, insured transportation, as needed to meet the duties of the position.

3. Ability to work with people who may become frustrated, angry, or upset.

4. The ability to read, speak and write in English. The ability to effectively communicate verbally and in written format in both individual and group settings.

5. Ability to be flexible, and able to change direction rapidly.

6. Ability to work independently, prioritize workload, complete a wide variety of tasks in a timely and accurate fashion and direct others, as needed.

7. Basic computer knowledge including Microsoft Office Word, Excel, Outlook, and Apple Software.

8. Ability to gain knowledge of Therap, our online documentation program within 30 days of hire.

9. Must be available from time to time outside of traditional office hours including nights, weekends, and holidays as necessary to perform the functions of the position.

10. Exercise independent judgment within the scope and boundaries of the department, the Agency's Standard Operating Procedures, and Federal, State and Local Rules and Regulations regarding department operations.

11. Ability to demonstrate consistent and reliable attendance as scheduled and requested.

Education and Experience

Required:

•High School graduation or equivalent, minimum age 18.

Preferred:

•Two years' experience working with intellectual/developmental disabilities population.

•Experience with medical records documentation or terminology.

•One year experience in customer service.

Certifications/Licenses

1. Valid Regular Driver's License, with acceptable driving record.

2. Qualified Medication Administration Personnel Certification-or ability to obtain within 30 days of hire.

3. CPR and First Aid Certification or ability to obtain within 30 days of hire.

4. Safety Care certification within 30 days of hire.

Physical Demands

1. This position requires that the incumbent be capable of bending, sitting, stretching, and/or reaching regularly for periods up to two hours without a break.

2. This position requires that the incumbent have adequate hand and finger dexterity to properly perform the functions of the position.

3. This position requires lifting regularly up to 60 pounds and occasionally up to 35 pounds.

4. This position requires the ability to hear, see, smell, and distinguish temperature, at a level which is adequate to ensure client and staff health and safety. Adaptive devices are acceptable.

5. This position will require daily driving of up to one hour per day and occasionally up to eight hours per day.

6. Climbing may be required from time to time.

Work Environment

1. Exposure to typical climate-controlled office environment when in the office.

2. Exposure to all climates and weather conditions while working in the field.

3. Exposure to bloodborne pathogens and infectious disease is possible but limited.

4. Exposure to hazardous chemicals is possible but limited.
