This position will remain open until filled.

Position Overview: The ASA Case Manager plays a vital role in delivering individualized care coordination for clients with developmental and intellectual disabilities, ensuring they enjoy a high quality of life.

Key Responsibilities

Administrative Assistants are tasked with a variety of responsibilities. While some may focus on specialized tasks or leadership roles, their primary objective is to deliver exceptional internal and external customer service to every client, host home, biological family, visitor, and employee of Ariel. Administrative Assistants typically collaborate as part of a team.

Essential Duties and Responsibilities

Depending on the specific role, employees may engage in all or some of the following tasks, as directed by their supervisor:

1. Serve as a receptionist: managing, screening, and responding to incoming calls, directing them to the appropriate staff members.

2. Ensure the cleanliness and presentation of the workstation and lobby area for public access. Perform office duties as outlined in opening and closing procedures.

3. Maintain strict confidentiality regarding all records managed by Ariel Clinical Services.

4. Collaborate with staff to arrange food and beverages for meetings and events.

5. Organize, create, and maintain files for adult services, including clients, host home providers, and vocational information.

6. Oversee the distribution of client file documentation to relevant parties.

7. Conduct regular audits of client and host home files to ensure compliance with Rules and Regulations and Agency Standard Operating Procedures.

8. Provide clerical or secretarial support as necessary for efficient organizational operations.

9. Assist program managers and case managers to ensure their needs are met effectively.

10. Complete data archiving as required.

11. Aid in the preparation of training sessions.

12. Support the recruitment of new host home providers.

Additional Responsibilities

1. Collaborate closely with other Ariel Programs and offices.

2. Perform other duties as assigned.

Required Knowledge, Skills, and Abilities

1. Clear, confident, and friendly phone demeanor and interpersonal skills with visitors and employees.

2. Ability to provide reliable, insured transportation as needed for job duties.

3. Capability to work effectively with individuals who may express frustration, anger, or distress.

4. Proficiency in reading, speaking, and writing in English, with effective communication skills in both individual and group settings.

5. Flexibility and adaptability to changing priorities.

6. Ability to work independently, prioritize tasks, and complete a variety of responsibilities accurately and timely while directing others as needed.

7. Basic computer skills, including knowledge of Microsoft Office Suite and Apple Software.

8. Ability to learn and utilize Therap, our online documentation system, within 30 days of hire.

9. Availability outside of traditional office hours, including nights, weekends, and holidays, as necessary.

10. Exercise independent judgment within the scope of departmental policies and regulations.

11. Demonstrate consistent and reliable attendance as scheduled.

Education and Experience

Required:

• High School diploma or equivalent, minimum age 18.

Preferred:

• Two years of experience working with individuals with intellectual/developmental disabilities.

• Experience with medical records documentation or terminology.

• One year of experience in customer service.

Certifications/Licenses

1. Valid Regular Driver's License with an acceptable driving record.

2. Qualified Medication Administration Personnel Certification or ability to obtain within 30 days of hire.

3. CPR and First Aid Certification or ability to obtain within 30 days of hire.

4. Safety Care certification within 30 days of hire.

Physical Demands

1. This position requires the ability to bend, sit, stretch, and/or reach regularly for periods up to two hours without a break.

2. Adequate hand and finger dexterity to perform job functions effectively.

3. Regular lifting of up to 60 pounds and occasional lifting of up to 35 pounds.

4. Ability to hear, see, smell, and distinguish temperature to ensure client and staff health and safety. Adaptive devices are acceptable.

5. Daily driving may be required, up to one hour per day and occasionally up to eight hours per day.

6. Climbing may be necessary from time to time.

Work Environment

1. Exposure to a typical climate-controlled office environment when working in the office.

2. Exposure to various climates and weather conditions while working in the field.

3. Possible exposure to bloodborne pathogens and infectious diseases, though limited.

4. Possible exposure to hazardous chemicals, though limited.
