One of our leading clients in Washington, DC is looking for an Administrative Assistant to fill a Contract-to-Hire role on their teamCandidates must live within 35miles of the Fund to be hired Perm.This is a hybrid role, Consultants will be expected to be onsite in WDC 2 days a week in the office - the office is extremely commutable from the Farragut West Metro Stop.
The candidate will provide the full range of administrative assistance to the divisional staff. They will work under the general supervision of the Senior Administrative Assistant to assist in ensuring the smooth functioning of the Division. They will also be responsible for the quality and timeliness of the work assigned to them: The successful candidate is expected to take over the responsibilities of the Senior Administrative Assistant in the latter's absence.
- The production of complex documents (such as long country mission reports, pre-mission briefs, and back-to-office reports) with strict formatting requirements incorporating multiple tables and charts in Excel and Word.
- Implement the administrative processes related to management of capacity development
- Coordinate HQ briefings for the department's Long-term experts in the field; support organization of the annual long-term expert workshop and other capacity development events.
- Manage a large volume of review items sent for inter-and intra-departmental review on a timely basis. They will support the be responsible for a large volume of document management
- Required Qualifications:
- Bachelor's Degree
- Experience working in a large, ideally global organization (worldly background is extremely helpful to be successful in their environment)
- Standard Admin skills
- Excellent organizational, and administrative skills, including ability to deliver on short deadlines, prioritize activities, and handle multiple tasks simultaneously.
- Strong Proof-reading + editing experience - Strong oral and written communication skills.
- Strong interpersonal skills, including a demonstrated ability to work independently and as part of a diverse team, and previous experience working across organizational units/divisions.
- Experience answering the phone.
- Adaptability.
- Proficiency in Windows, Microsoft Office, with ability to handle large word documents and perform operations in excel, including editing charts and tables.Should have experience creating new word/excel docs and templates not just editing existing ones.
- Initiative, resourcefulness, and a demonstrated ability to work with minimal supervision, under pressure to meet the demands of an evolving workload.
- Display a high degree of accuracy, attention to detail, and follow through.
- Sound judgment and tact in handling contacts with staff at all levels, and utmost discretion in handling confidential matters.
- Ability to leverage technology to improve work practices and communication flows.
