Role and Scope of Position:
Provide assistance to the facility management team to ensure the successful competition of client facility needs.
Essential Functions:
Mailroom:
- Prepares and maintains delivery schedule for all couriers and mail clerks
- Ensures pick-up and delivery of inter-company mail to various PSNH locations in accordance with pre-determined schedule
- Assists with the sorting and preparation of mail between scheduled deliveries
- Coordinates special requests for pick-ups and deliveries other than those regularly scheduled
- Coordinates Iron Mountain submittals and retrievals
- Schedules regular maintenance on vehicles used by couriers, making necessary arrangements for substitute vehicles when needed
- Ensures that all work and activities comply with Company policies and practices and are performed in a safe and efficient manner.
- Identifies appropriate procedural methods; and make decisions based on analysis of information
- Works effectively with co-workers; superiors, interfacing departments and vendors
- Analyzes operational methods and develops improved procedures as needed
- Interprets Company policies, procedures and practices
- May perform any or all tasks required to complete mailroom duties
- Assist with day-to-day management of multiple building service vendors
- Respond to client inquiries and concerns, ensuring timely and quality service delivery to clients; follows up with clients to ensure customer satisfaction
Technical Knowledge/Skill:
- Ability to interpret Company policies, procedures and practices
- Ability to understand instructions, short correspondence, and memos and ask clarifying questions to ensure understanding.
- Ability to respond to common inquiries from clients, co-workers, and/or supervisor.
- High school diploma or GED. Degree in facilities management, building, business or relevant field a plus.
- A minimum of two (2) years of related experience in mailroom/courier, tenant services, facilities management or related field.
Licenses & Certifications:
- Valid Motor Vehicle Operator's License
- Work is performed in a combined office, warehouse and outdoor environment which may have periodic high levels of noise, inconsistent temperatures, and adverse weather conditions.
- Must be available to work emergency restoration assignment as required.
- Must be available to travel between MA/CT/NH as necessary
- Physical requirements include stooping, standing, walking, climbing stairs and ladders and ability to lift and carry heavy loads of 50 lbs. or more.
- This role works in an environment that often requires the performance of multiple simultaneous activities, where deadlines need to be met and work is frequently performed under time pressure while involving significant business commitments
