Alongside the Director of Human Resources, you help run the day-to-day activities of the HR department including recruiting, onboarding/offboarding employees, administering payroll, benefits and leave, enforcing company policies and practices and supporting the cross-functional teams. Responsibilities:

Provides support to the Director, Human Resources on all personnel matters including but not limited to:

Recruitment/Onboarding Process:
  • Maintain job description library.
  • Schedule interviews and coordinate day-of onsite interview activities.
  • Coordinate onboarding activities with cross-functional team: send new hire email, ensure background, and reference checks are completed, send new hire onboarding email.
  • Prepare new employee files: collect new hire onboarding documentation. Ensure new hires are entered in payroll, benefits, 401K and other HR portals in a timely manner.
  • Welcome employees on day 1: administer and monitor new hire orientation program, complete I9 verification, update company directory, ensure new hire training is completed.
  • Serve as a point person for all new employee questions.
Employee Changes/Offboarding Process:
  • Execute organizational changes, maintain employee directory on Interius Insider and company organization charts.
  • Coordinate offboarding activities with cross-functional team: send offboarding email, file resignation email, deliver exit package, ensure all HR/IT systems are closed out, collect equipment and badges.
  • Serve as a point person for all terminated employee questions.
Payroll and Benefits Administration:
  • Process semi-monthly payroll (Paychex): inputting all payroll changes, answering payroll questions, facilitating resolutions to any payroll errors.
  • Lead benefits administration (medical, dental, FSA, Commuter, COBRA): coordinate open enrollment and ensure all benefits changes are complete, upload monthly FSA deductions, process claim resolutions, reconcile benefits statements, and approve invoices for payment.
  • 401k Administration: input 401K change requests in payroll, upload monthly 401K contributions.
  • Oversee/coordinate leave program: leave tracking, management reports, workers compensation claims, and return to work discussions.
  • Complete initial worker's comp reporting, communicate work restrictions, claim adjuster correspondence, tracking and claim review analysis for settlements.
Record Maintenance:
  • Maintain current HR files and databases.
  • Review, track, and document compliance with mandatory and non-mandatory training and health certifications (example, Hep B titer).
  • Maintain compliance with federal, state, and local employment laws and regulations, and recommend best practices; review policies and practices to maintain compliance.
  • Update and maintain employee payroll/benefits, employment status, and similar records.
  • Maintain records related to performance reviews and disciplinary actions.
  • Perform file audits to ensure that all required employee documentation is collected and maintained.
  • Perform payroll and benefits audits and recommend any correction action.
General:
  • Assist Director Human Resources in organizing employee engagement events.
  • Handle employment-related inquiries from applicants, employees, and managers, referring complex and/or sensitive matters to Director, Human Resources.
  • Maintain knowledge of trends, best practices, regulatory changes, and new technologies in human resources, talent management, and employment law.
  • Perform other duties as assigned and required.
Qualifications:

The Manager, Human Resources will have the following mix of personal and professional qualifications:
  • Bachelor's degree in Human Resources or related field; SHRM-CP, SHRM-SCP, SPHR or PHR a plus
  • 5+ years of experience in Human Resources management including benefits administration and payroll.
  • Strong knowledge of employment laws and regulations (Federal, State (PA), Local (Philadelphia))
  • Proficiency in HRIS systems and data analysis.
  • Team player who recognizes the importance of relationship management and builds credibility through action and results.
  • Ability to work in changing environments, work through complex situations and strategically promote an inclusive/diverse workforce.
  • Capable of handling multiple issues and/or projects simultaneously and executing to completion while maintaining strong attention to detail.
  • Understanding of the dynamic nature of a small, rapidly growing organization
  • Excellent interpersonal, written and oral communication skills.
  • Vaccinated against SARS-CoV2 plus booster.
