Position Overview:

The Senior Grants Manager, reporting to the Controller, will lead a team of eight Grant Accountants in managing the full grant lifecycle, including budgeting, reporting, receivables collection, closeout, and audits. This role is a key part of the Fiscal Leadership Team and is responsible for ensuring that the grants team operates with efficiency, transparency, and accountability. The Senior Grants Manager will be responsible for maintaining strong relationships with government and private funding agencies, program staff, and auditors, while supporting organizational reporting for management, the board, compliance, and audit purposes. The successful candidate will have experience with Federal, NYS, and NYC government funding regulations, including those from agencies such as ACH, DOE, OCFS, OMRDD, and DOH.

Key Responsibilities:
  • Grant Management and Compliance:
    • Oversee compliance reporting and accounting for government and private grants and contracts, currently totaling approximately $55M.
    • Maintain expertise in Federal, NYS, and NYC government funding regulations (e.g., DOHHS, OCFS, SED, DOE, DYCD, DFTA, ACS) and ensure accurate submissions through document submission portals such as PMS, SFS, and PASSport.
    • Develop and maintain systems to monitor and track contract deliverables, cash advances, and receivables.
  • Team Leadership and Coordination:
    • Manage a team of 8 Grant Accountants, ensuring timely completion of monthly, quarterly reconciliations, closings, and reports, including all claims and budget vs. actual analyses.
    • Coordinate with program staff to address over/underspending of grant funds, providing guidance on budget modifications as necessary to maximize fund utilization.
    • Collaborate with the development team to manage financial requests from private funders, supported by the grant accountants.
  • Financial Oversight and Reporting:
    • Monitor and report on Grants Receivable, including billings, advances, and payments. Review grants receivable schedules and assist with collections.
    • Approve and post journal entries related to the grant management function.
    • Ensure that monthly and year-end closings are finalized promptly, with accurate reporting of operating results.
  • Audit Management:
    • Oversee audits by government agencies and A-133 Single Audit, including preparation of documents, site visits, and follow-up actions.
    • Develop the annual cost allocation plan to allocate expenses such as rent, utilities, and maintenance to programs in line with funding source regulations.
    • Coordinate the preparation of the Consolidated Fiscal Report (CFR) and related supporting schedules.
Qualifications:
  • Education:
    • Bachelor's Degree in Accounting preferred.
  • Experience:
    • Minimum of four years of supervisory/management experience in accounting.
    • At least four years of progressively responsible experience with grants and contracts.
    • Experience with Blackbaud Financial Edge NXT is preferred.
