The Administrative Assistant will provide essential administrative support to ensure efficient operation of the office and assist the construction management team in coordinating various administrative tasks. This role involves a mix of general office duties, project management assistance, and communication tasks.

Key Responsibilities

Office Administration:

- Must speak fluent English and Spanish.
- Greet and assist visitors in a professional and courteous manner.
- Maintain and organize office supplies and inventory.
- Schedule meetings, appointments, and manage calendars for operations manager.
- Prepare and distribute meeting agendas and other relevant documentation.
- Weekly delivery of employee checks to job site.
- Participates in onboarding of new hires, including inputting data in appropriate systems and maintaining inventory of all documents and materials required for the hiring process.
- Serve as point of contact with vendors and administrators.
- Manage all travel arrangements and hotel reservations on a weekly basis.

Project Coordination:

- Assist in the preparation and tracking of project schedules, correspondence and documentation.
- Coordinate and communicate with subcontractors, suppliers, and other project stakeholders.
- Maintain project files and ensure all documentation is up to date and properly filed.
- Assist in equipment rental for jobsite.

Data Management:

- Compile and maintain various reports, records, and logs.
- Assist in the preparation of documents such as expense reports etc.
- Establish communication protocols.

Communication:

- Facilitate internal communication within the project team and across departments.
- Draft, proofread, and edit correspondence, reports, and other documents.
- Coordinate and maintain the flow of information both internally and externally.

Compliance and Safety:

- Ensure compliance with company policies, procedures, and safety regulations.
- Assist in the preparation and maintenance of safety records and documentation.
- Support the implementation of safety programs and initiatives.

**Qualifications**:

- Education and Experience:

- High school diploma or equivalent.
- Proven experience as an administrative assistant or in a relevant administrative role.
- Experience in the construction industry is highly desirable.

**Skills**:

- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
- Strong organizational and multitasking abilities.
- Excellent verbal and written communication skills.
- Attention to detail and problem-solving skills.
- Ability to work independently and as part of a team.

Work Environment
- The role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.
- Physical Requirements
- Ability to sit for extended periods.
- Occasional lifting of office supplies or materials up to 20 pounds.
- Ability to travel to various project sites if required.
