**About us**
Lower Swatara Township is located in Dauphin County, South Central Pennsylvania, six miles outside of Harrisburg City, along the Susquehanna river. Lower Swatara is comprised of residential, commercial, industrial, educational, agricultural and government properties. The Township is 14.6 square miles.
**Job Overview**:
**Responsibilities**:
Answers telephone in a polite and courteous manner and provides information/assistance or routes caller to appropriate staff member
Greets visitors in a polite, courteous, and professional manner and directs them to appropriate individual.
Assist with selling dog licenses.
Serves as back-up to other administrative assistants as needed
Operate fax, postage, copier, printer and scanning equipment.
Other Basic clerical work including but not limited to, typing, filing, and organizing, record keeping etc.
Order office supplies for Municipal Authority and other departments when needed.
Place service call for office equipment when needed.
Sort and distribute all incoming mail for All Departments.
Maintains cash receipts including bank deposit and petty cash distribution, account reconciliation records
**Department Specific Functions**:
Attend the monthly Municipal Authority meetings as Recording Secretary
Prepare Agenda for Municipal Authority meeting and distribute related documentation for meetings to appropriate individuals
Review minutes prior to agenda meeting to ensure proper follow-up by staff.
Transcribe minutes after each meeting for approval at the next month’s meeting.
Post minutes/agenda from Municipal Authority to website and bulletin board.
Reviews website routinely to make updates pertaining to the Municipal Authority.
Answer all sewer/billing related phone calls and in-person visits.
Process and post payments, adjustments, etc. to sewer/stormwater accounts and other accounts through the utility software program (Caselle)
Make all bank deposits for Sewer Revenue Fund.
Calculates final sewer/stormwater figures for all real estate settlements. Finalize all accounts when payment is received. Update account information for new customer account in Caselle.
Convert all Commercial sewer customer’s water consumptions to EDU's for monthly billing purposes. Keep watchful eye on any flows that are high, make sure they are not exceeding in the number of EDU’s they purchased.
Process monthly Sewer/stormwater billing in Caselle, consisting of calculating billing, running penalties, uploading bill files to Dallas Data and Invoice Cloud, preparing required reports, etc.
Collects and reports water consumption for all residents and commercial properties that are in the Derry Drainage Basin and send to Derry Township Municipal Authority monthly.
Compile monthly EDU report for all three (3) WWTP for Chapter 94 Reporting information on a monthly basis. (This information is given to the MA Engineer on an annual basis but needs to be compiled monthly.)
Code Municipal Authority/Public Works invoices for accounts payable. Send out checks after Municipal Authority meeting.
Performs other duties as assigned by supervisor.
Performs in accordance with Township policy, administrative regulations, state and federal laws.
**Qualifications**
High school graduate or equivalent
2 years related experience
Current and valid PA Motor Vehicle Driving License
This is a full-time position; typical work hours and days are Monday through Friday, 8:00 a.m. to 4:00 p.m., evening meeting attendance may be required.
Specialized training on work computer and Microsoft Office Suite
Knowledge and skill in modern business communication, including style and format of letters, spreadsheets, memoranda, minutes and reports.
Knowledge and skill in modern office procedures and methods including telephone communications, office equipment and record keeping, filing, archiving and protection of documents and data.
Must possess excellent interpersonal skills.
Able to make judgments and work in situations that may be stressful.
Must be courteous and able to effectively manage job responsibilities.
Must be cooperative, congenial, service oriented, and promote these qualities.
Ability to work in an environment with frequent interruptions.
Pay: From $20.35 per hour
