**Position Summary**
The Receptionist/Administrative Assistant provides direct support to the Bronx Peer Advocacy Program team. This includes calendar management and successful coordination of business meetings. They serve as the main point of phone contact for calls directed to the program’s office. They serve as a liaison between the team and other departments within the organization. They prioritize and manage multiple projects simultaneously with little or no supervision.
The essential functions include, but are not limited to the following:
- Ability to juggle multiple projects with superb accuracy.
- Assist program managers in scheduling interviews for prospective hires.
- Create and update program specific literatures (Brochures, Fliers, Event invites etc.)
- Manage record keeping systems, forms control, file layout, and archive maintenance
- Answer multi-line phone system
- Type letters and design forms using Microsoft Word and Excel
- Work collaboratively with the administrative team to meet service contract or other reporting deadlines
- Create and help maintain various databases and files in Foothold/AWARDs.
- Coordinate delivery of, maintain supplies, and office supplies, furniture, and equipment to program office as per office policies
- Maintains supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies including but limited to purchase orders and project specific invoices.
- Ensures operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques.
- Participate in training to enhance growth and development
Minimum Qualifications (Knowledge, Skills, and Abilities)
- High School Diploma required; Bachelor’s degree preferred
- Experience as an administrative assistant in an office setting. Non-profit experience preferred.
- Working knowledge of Microsoft Excel, Word, PowerPoint, and Outlook
- Demonstrate interpersonal skills and proficiency in business vocabulary to effectively represent the program and the company to outside parties
- Excellent writing, proofreading, and editing skills.

- Strong attention to detail and excellent organizational skills required.
- Must have the ability to multi-task in a fast paced and deadline driven environment.
- Must be able to always maintain professionalism and a positive service attitude.
- Must be able to work a part-time schedule.
