**Job Title: Church Administrator/ Accountant & Bookkeeper**

**Responsibilities**

**1. Administrative Assistance**:

- Help with the daily administrative operations of the church office, including assisting schedules, appointments, and correspondence.
- Maintain church records, including membership databases, financial records, and historical documents.

**2. Facility and Resource Assistance**:

- Coordinate facility usage, including scheduling and overseeing maintenance and repairs.
- Manage church resources, equipment, and supplies, ensuring their availability and proper maintenance.
- Oversee the procurement and inventory management of office supplies and church materials.

**3. Communication and Coordination**:

- Serve as a point of contact for church members, staff, and external partners, providing information and assistance as needed.
- Coordinate and support church meetings, committees, and events, including preparing agendas and minutes.
- Facilitate communication and collaboration among church staff and volunteers.

**4. Human Resources**:

- Assist in the recruitment, onboarding, and orientation of church staff and volunteers.
- Manage personnel records, including contracts, benefits, and HR-related documentation.
- Ensure compliance with employment laws and church policies.

**5. Ministry Support**:

- Collaborate with ministry leaders to support their administrative needs, including event planning, record-keeping, and volunteer coordination.
- Assist in the coordination of pastoral care and church member support initiatives.

**Financial Responsibilities**:
**1.** **Financial Record Keeping**: Maintain accurate and up-to-date financial records for the church. This includes keeping detailed records of all financial transactions, such as income from offerings, donations, fundraising events, and other sources of revenue.

**2.** **Contributions Processing**: Receive, record, and process weekly offerings and contributions made by church members and attendees. Ensure that all contributions are properly documented and accounted for. Maintain the confidentiality of individual contribution records.

**3.** **Bank Reconciliation**: Regularly reconcile bank statements with the church's financial records to ensure that all transactions are accounted for correctly. Identify and resolve any discrepancies in a timely manner.

**4. Financial Reporting**: Prepare monthly and annual financial reports for the church leadership, board, or finance committee. These reports should provide a clear overview of the church's financial status, including income, expenses, budget variances, and trends.

**5.Budget Assistance**: Collaborate with church leadership in the preparation and management of the church budget. Provide financial data and insights to assist in the budgeting process. Monitor actual expenses against the budget and report any significant deviations.

**6. Payroll Management**: Manage the church's payroll process. Calculate and process payments for church staff, contractors, and other personnel. Ensure that payroll taxes and deductions are handled accurately and in compliance with relevant regulations.

**7. Financial Compliance**: Stay informed about relevant financial regulations and tax laws applicable to nonprofit organizations and religious institutions. Ensure that the church remains in compliance with these regulations and report any changes or updates to church leadership.

**8. Financial Planning**: Work with church leadership to develop and implement sound financial planning strategies. This may include financial forecasting, investment management, and asset protection.

**9. Expense Management**: Monitor and manage church expenses, including vendor payments, utility bills, and maintenance costs. Look for opportunities to optimize spending while maintaining the church's operational needs.

**10.Financial Communication**: Communicate the church's financial status, updates, and challenges to church leadership, board members, and relevant committees. Provide financial insights to support decision-making processes.

These expanded financial responsibilities highlight the multifaceted role of the Church Secretary/Administrator and Bookkeeper in managing the financial aspects of the church while maintaining integrity, compliance, and transparency in all financial matters.

**Requirements**:

- Must have prior bookkeeping or accounting experience.
- Experience with Quickbooks
- Degree in Relevant field a bonus
