Raymond West is looking for a dynamic **Receptionist **to join our team This position will be considered an onsite position and will serve the role of a Receptionist and work along the side of other company Receptionist. The role of a Receptionist will greet incoming callers and visitors cheerfully and direct them to the appropriate Raymond West department or employee in a professional and efficient manner. Supplementary responsibilities may include assisting with the incoming and outgoing mail, ordering supplies and assists other departments on projects as business needs dictate.

Our customers trust us to provide the right supply chain solutions and services to keep their business up and running.

**Duties and Responsibilities**:
Primary duties and responsibilities will vary with the specific position. Typical responsibilities are listed below. This list is not inclusive.
- Responsible for answering high volume of calls on a muti -line switchboard and serve as a Receptionist on a front desk Reception team.
- Position will include manning the front desk, greeting customers with a professional demeanor and notifying company staff of visitor arrivals.
- Partner with company Receptionist on coverage needs and serve as a back up to other reception team members when needed.
- May be required to cover fellow Receptionists shifts when team members are out.
- Maintain a professional working relationship within all of Raymond West as well as its customers and vendors.
- Responsible for understanding the switchboard and phone system and partner with IT when system issues arise.
- Serve as a Safety Ambassador and take roll when building emergencies occur.
- Screen incoming phone calls for management as instructed. Act as a back up to other positions as needed.
- Maintain a current awareness of the services and products provided by Raymond West
- Able to act in an assertive manner and asks questions to ensure accuracy in call placement.
- Open and/or close the switchboard and front office machinery.
- Maintain housekeeping for the front office area in a tidy and attractive manner.
- Sort incoming and outgoing mail, direct accordingly to the post office, UPS, or Raymond West Runner and check for proper postage and address.
- Maintain an adequate supply of postage stamps; ensure postage meter contains enough postage and machine is in perfect working condition.
- Act as a backup for the Training department, create Training certificates and assists on various administrative duties.
- Create labels as assigned by various departments.
- Fold and stuff outgoing checks and invoices daily as instructed.
- Keep envelopes and copy paper properly stocked.
- Receives and addresses visitor's needs.
- Responsible for ordering company supplies, processing supply invoices and maintaining office and break room supplies.
- Assist with organizing company functions or meetings.
- Assist departments with other tasks as needed.
- Assist the HR department with filing and scanning of documents.
- Restock vending machine and maintain petty cash received from purchases.
- Other duties and projects as assigned by Raymond West management.

**Required Skills/Abilities**:

- Excellent written and verbal communication skills
- Always exhibit a cheerful and positive attitude when dealing with customers both internally and externally
- Excellent Organizational Time Management skills
- Proficient in Microsoft office Suite and similar software
- Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
- Ability to speak effectively before groups of customers or employees of an organization.
- Must be able to maintain effective working relationships with employees, Co-workers, and Managers in other departments.
- Must be willing to work overtime as specific needs dictate.
- Must be willing to assume more responsibility as required.
- Excellent Customer Service Skills
- Ability to multi-task and prioritize duties as assigned.
- Excellent Interpersonal Skills and displays professionalism daily while representing the front desk.
- Ability to take initiative and problem solve related to phone system issues and customer questions.

**Education/Experience**:
Minimum Education and Experience: Determined by position.
- Required: High School Diploma
- Preferred: 2 years of administrative or customer service experience.

**Travel Requirement**:

- Travel may only be required to cover another branch as business needs may dictate.
