**GENERAL DESCRIPTION**:
Position requires an advanced responsibility level of administrative work, technical and secretarial
duties within the Finance Department. Duties are generally similar to the Administrative Assistant
classification except that the scope of responsibility and degree of knowledge required is more
complex and advanced.
**ESSENTIAL JOB FUNCTIONS**:
1. Performs duties of a staff assistant nature and participates directly in the work of the Finance
Director.
2. Prepares all administrative work for the Director and delegates to others as appropriate.
3. Prepares forms and composes letters. Sets up and maintains specialized office files. Files
letters, reports and related technical information in the prescribed manner.
4. Opens, prioritizes and processes Director’s mail. Keeps appointment calendars and schedules
appointments. Prepares information and data needed for appointments/meetings for the
Director.
5. Receives and screens calls and refers callers to other employees.
6. Responsible for all purchasing for the department. Accurately prepares requisitions and
purchase orders.
7. Assists the Finance Director and Budget Coordinator in preparation of annual budget and AFR.
8. Prepares agenda, attends, records and transcribes minutes for Retirement Board meetings.
Processes information relating to Director’s secretarial and treasurer responsibilities.
9. Types using PC-based word processing, software and processes letters, forms, reports,
schedules, manuals, booklets, and related paperwork. Types information or enters data into
computer containing technical terminology. Retrieves data for reports.
10. Advance skills in excel and other word products.
11. Employee will be assigned other job-related duties as requested.
**MINIMUM QUALIFICATIONS**:
**Knowledge, Skills and Abilities**:
1. Knowledge of business english, spelling and punctuation in order to prepare documents and
compose letters and memos.
2. Knowledge of office practices and procedures.
3. Knowledge of mathematics; familiar with a calculator.
4. Knowledge of Adobe Acrobat, Microsoft Publisher required, **proficient in Microsoft Word and**
**Excel.
5. Knowledge of the unit and City’s policies, procedures, and practices.
6. Ability to establish and maintain effective working relationships with employees and the public.
7. Skill in the operation of a PC.
8. Ability to effectively communicate both verbally and in writing.
9. Ability to analyze a variety of administrative problems and to make sound recommendations.
10. Ability to type 65 words per minute.
11. Ability to enter data at a prescribed rate of speed.
**EDUCATION AND EXPERIENCE:
Associates degree in Administration, Business, or a related field. Seven (7) years work
experience in progressively responsible position involving staff assistance and advanced
clerical support work including data entry.
(A comparable amount of education, training or experience may be substituted for these minimum qualifications)
**LICENSES, CERTIFICATIONS & REGISTRATIONS**:
Notary Public (may be obtained when hired, but is required).
**ESSENTIAL PHYSICAL SKILLS:
- Acceptable eyesight (with or without correction).
- Acceptable hearing (with or without hearing aid).
- Ability to lift and carry 15 to 20 pounds.
- Ability to sit at a desk and view a computer monitor for extended periods of time.
- Ability to utilize file cabinets for storage and retrieval of data.
- Ability to walk, bend, pull, reach, stoop, and stand.
