Job Overview:
We are seeking a detail-oriented and organized individual to join our team as a Receptionist/Administrative Assistant. In this role, you will be responsible for providing exceptional customer service and administrative support to ensure the smooth operation of our office.
**Responsibilities**:
- Greet and welcome visitors in a professional and friendly manner
- Answer and direct phone calls using a multi-line phone system
- Schedule appointments and maintain calendars
- Assist with administrative tasks such as filing, data entry, and document preparation
- Manage social media content
- Maintain supplies inventory and place orders when necessary
- Coordinate meetings and events, including making arrangements for estimates and mobile detailing as well as pick up and drop off
- Assist with basic bookkeeping tasks using QuickBooks, Wix
- Perform general office management duties, including organizing files and maintaining office cleanliness
**Requirements**:
- Previous experience in a customer service or administrative role preferred
- Proficient in using phone systems and other office equipment
- Familiarity with medical office procedures is a plus
- Strong organizational skills with the ability to multitask effectively
- Excellent phone etiquette and communication skills, both written and verbal
- Detail-oriented with strong proofreading skills
- Proficient in computerized systems, including Microsoft Office Suite (Word, Excel, Outlook)
- Knowledge of QuickBooks is a plus
- Ability to handle sensitive information with confidentiality
