Frier Levitt attorneys are licensed in numerous states. The Firm has offices in Pine Brook, NJ, and New York City.

We are seeking a Receptionist for our Pine Brook, New Jersey office with 85 employees. This position is full-time in our office (Monday-Friday, 9am-5pm, with a one-hour lunch).

This is not a remote or hybrid job.

The Receptionist will be responsible for:

  • First point of contact for clients and visitors to the Firm
  • Answering phones and routing calls in a professional, polite and timely manner
  • Assisting in the Potential New Client (PNC) process, including taking calls from PNCs, preparing intake forms, and routing PNC calls, as backup for our client intake team
  • Lead employee for matter creation - entry of new clients into our billing and document management system, once clients are engaged
  • Handling of incoming and/or outgoing mail
  • Receipt and distribution of electronic faxes
  • Handling of FedEx, certified mail and other non-USPS materials
  • Acting as backup to the Firm's Legal Support Assistant, as needed - organization of weekly lunches, grocery ordering and supply ordering
  • Other miscellaneous tasks as assigned by attorneys, Legal Assistants or administrative staff
  • Effectively and calmly communicating with staff, attorneys and clients, even when under pressure

Requirements:

  • 1+ years' experience as a Receptionist or other client-facing administrative position
  • Experience in a professional services organization (legal, accounting, medical, finance, etc.) strongly preferred
  • General interest in the legal profession
  • Proficiency in Microsoft Office Suite and Adobe
  • Excellent verbal and written communications, including proofreading
  • Ability to remain calm under pressure
  • Must possess a can-do attitude
  • Ability to prioritize assignments and tasks
  • Requires close attention to detail
  • Ability to interact well with different personality types
