- Assist with answering phones and direct incoming calls as well as taking and distributing messages to staff/vendors
- As assigned, compile documents, make copies, answer phones, send and receive fax documents, and provide other general office support as necessary.

- Maintain contact list for vendors and suppliers

- Coordinate with other departments to ensure compliance with workflow procedures
- Maintain trusting relationships with suppliers, customers, and colleagues
- Meet and follow up with Managers to discuss open jobs and schedules of completion
- Act as the point of contact for clients and vendors
- Create Proposals

**Requirements**:

- QuickBooks Experience
- Proficiency in MS Office
- 3+ years of administrative accounting experience required
- Efficient in preparing documents, managing data, and ability to manage multiple projects simultaneously.
- Property Maintenance/Construction industry experience a plus but not required
- Knowledge of office management systems and procedures
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multi-task
- Outstanding skills required in the following areas: Organization, follow-through, written and oral communication; initiative; documentation, and team orientation
- Strong self-organization and self-management skills, with emphasis on self-initiation and follow-through
- Ability to work autonomously on tasks assigned while also functioning as a team player within the administrative department
- Juggle various administrative tasks in a timely manner
- Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
