ROLE SUMMARY

As an essential member of the Chicago Department of Public Health, the **Administrative Assistant III** role performs administrative and office management support functions for the Assistant Commissioners within the Contracts, Finance, and Grants and Development Bureau, supervises clerical and administrative office operations; and performs related duties as required.

ESSENTIAL DUTIES & RESPONSIBILITIES
- Creates and maintains databases and spreadsheets using various software packages
- Researches, compiles and analyzes data to prepare programmatic and administrative reports. Edits and proofreads documents and reports
- Drafts correspondence for supervisor’s signature
- Orders and maintains materials and supplies and resolves problems with vendors
- Researches costs and analyzes expenditures to assist in the preparation of the annual budget
- Schedules meetings, creates and maintains sign-in sheets for meetings, and takes notes during meetings and site visits

**Hours**:8:30am to 4:30pm**

**Qualifications**

POSITION REQUIREMENTS

Experience
- Three years of progressively responsible administrative or secretarial experience, or an equivalent combination of training and experience.

OTHER SKILLS, ATTRIBUTES, AND ABILITIES
- Good knowledge of office management, administrative procedures, and practices
- Ability to develop and maintain effective working relationships with supervisors and staff
- Skilled in preparing informational reports
- Excellent verbal and written communication skills
- Proficient in Microsoft Word, Excel, PowerPoint, and Outlook
