We are seeking an Executive Assistant to support the Site and HR department in Indianapolis, Indiana. In this role, you will work with diverse teams and stakeholders, including employees, the executive management team, clients, and governmental organizations.

The responsibilities of this role will include, but not be limited to, the following:

  • Ensure that the Site and HR Department team are supported in organizing and executing strategic and tactical goals timely and professionally with colleagues around the world.
  • Maintain calendar of VP, Human Resources and schedule team meetings.  Ensure meeting set-up includes appropriate resources (Webex, Teams, Conference Rooms, etc.)  
  • Will need to be able to create detailed and professional presentations for the VP, Human Resources
  • Will sort and manage the incoming mail to the facility to ensure routed to the correct departments in conjunction with our mail room staff.
  • Assists with Site events and activities
  • Ensure site communication is sent out regularly.
  • Facilitate monthly Employee Resource Group meeting for the Indianapolis Site.
  • Support confidential activities on a regular basis (New Hires, Organizational Changes, Policy Changes, etc.)
  • Will maintain and support HR SharePoint and MS Teams sites.
  • Compile and create presentations and reports that will be shared to our Executive Leadership Teams
  • Will need to be able to work independently, the incumbent needs to successfully executes assignments that are complex in nature and involve many stakeholders (internally and externally). 
  • A high degree of confidentiality, independent thinking, initiative and autonomy are required to develop recommendations, solve problems and complete assignments. 
  • The incumbent is regularly called upon to complete special projects, organize complicated events and manage multiple tasks simultaneously all with a focus on high-quality outcomes. 
  • He/she must have very strong communication skills, organizational abilities and be comfortable interacting with individuals at all levels.
  • He/she also works with highly confidential information on a regular basis and is required to always hold that information in the strictest confidence.
  • Leverage best practices and various Microsoft office products and technology to bring efficiencies to the team.
  • Conduct New hire orientations and assist with onboarding of new team members within the site.
  • Maintain and help execute our survey programs develop, administer, analyze and report out results.
  • Should be strong at re-prioritizing work quickly and working with others to accomplish critical initiatives. 
  • International travel management and virtual meeting set-up is critical. 
  • They will interact often with business unit leadership teams, corporate partner teams (Finance, IT, Legal, HR, Sales & Marketing), and their administrative support. 

Education:

  • Post High School education is preferred, Bachelor’s degree or Administration certification a plus.  
  • Prior executive admin experience in a large, global corporation also preferred.

Experience:

  • Minimum of 5 years’ experience as an Executive Assistant with 10+ years’ administrative or related experience preferred. (Additional education may be substituted for experience)
  • Prior experience working in Human Resources
  • Have or build in depth knowledge of company operations, policies and procedures.
  • High proficiency with enabling technology including with MS Office (all products including Word, Excel, Power Point and Outlook) and ability / willingness to learn new applications.
  • Knowledge in TEAMs
  • Handle confidential information, maintain the highest ethical standards and trustworthiness, exercise sound judgment and make decisions independently.
  • Superior prioritization, organization, and time management skills with the ability to manage competing demands. Strong attention to detail.
  • Ability to independently and efficiently manage one’s time and meet deadlines.
  • Navigate effectively in a team-based corporate environment, coordinate activities among departments and external parties.
  • Utilize critical thinking skills to independently analyze problems, determine approach, identify potential solutions and implement as appropriate.
  • Excellent oral/written communication with team members, external clients and management.
  • Must have a high degree of problem-solving skills
  • Understand internal and external customers’ requirements and expectations and provide consistently outstanding customer service.
  • Demonstrated experience in influencing others and working across a broad corporate environment.

Pay Range: $20 - $30/hr
