The chosen candidate will report directly to the President and will be tasked with delivering comprehensive administrative and executive support across various functions. This role demands exceptional communication and interpersonal skills, as well as the ability to manage information and provide services to a diverse range of internal and external stakeholders. The ideal candidate should be capable of working autonomously while handling a variety of complex and confidential administrative responsibilities.
Key Responsibilities:
This list of responsibilities is not exhaustive and may be expanded to include additional tasks as necessary to meet the evolving needs of the organization.
- Drafts, types, and disseminates correspondence, memos, emails, faxes, and other documents for the President and other executives.
- Manages confidential information and communications with discretion.
- Prepares and organizes daily correspondence for the President.
- Facilitates internal communications, coordinating teleconferences, video conferences, and meeting spaces.
- Responds to or directs priority or confidential inquiries from various sources on behalf of the President and other executives.
- Utilizes sound judgment and knowledge of the organization to assist in the executive's activities.
- Coordinates meetings, including preparing and distributing agendas and relevant materials, as well as reserving and setting up facilities.
- Schedules and organizes travel arrangements for the President and other personnel.
- Manages the President's calendar and schedules appointments effectively.
- Oversees event planning for company celebrations and gatherings.
- Negotiates pricing and accommodations for contracted services and facilities.
- May oversee the scheduling of work and direct other staff to provide support.
- Assists with trade shows, annual sales meetings, and other corporate events.
- Acts as a backup for the receptionist and provides support to the Human Resources department.
- Manages the company's mobile phone and credit card programs.
- Maintains necessary certifications and memberships.
- Performs additional duties as assigned.
Qualifications:
- High School Diploma or equivalent required; an Associate degree in Business Administration or a related field is preferred, along with a minimum of five (5) years of relevant experience.
- Proficient in Windows and MS Office applications, including Word, Excel, and PowerPoint.
- Exceptional verbal and written communication skills.
- Able to work independently and collaboratively within various teams and committees.
- Capable of effectively interacting with individuals at all organizational levels.
- Strong organizational, problem-solving, and analytical skills; adept at managing priorities and workflows.
- Attention to detail is essential.
