The Society of Breast Imaging (SBI), a professional association for radiologists, seeks to hire a Society Project Coordinator to join its growing team. SBI seeks to find a highly motivated, self-directed, organized individual to assist Society Executive Leadership and manage society projects.

The Society Project Coordinator will be responsible for the following:

Duties in support of Volunteer and Committee Activities:

  • Organize volunteer applications for committee service.
  • Manages committee term notices and new volunteer communications. 
  • Collects and organizes Conflict of Interest (COI) forms for all volunteers.
  • Keeps committee rosters in database updated.
  • Coordinates quarterly committee reports with chairs for submission and review by SBI Board of Directors.
  • Breast Imaging Match Program – responsible for maintaining Breast Imaging Directory, working with the Fellowship Match Committee and NRMP to disseminate information to Program Directors, ensuring program continues by obtaining commitment from programs early, assists members with questions about the match and ensures content on website is accurate. Serves as staff liaison to committee.
  • Patient Care & Delivery Committee – Supports Chair and Vice Chair with committee management. Serves as staff liaison to committee.
  • Fellows Application Review Process – Manages entire application process and submits applications to staff liaison for committee to review and approve. 

Duties in support of Education during annual Symposium:

  • Assist attendees with CME (Continuing Medical Education) claiming after meetings, as needed.
  • Reconcile and code expense reports and process honorarium check requests.
  • Support development of annual Symposium onsite program materials.

Duties in support of Membership, Marketing & Communications

  • Manages the Society’s member community in Higher Logic.
  • Manages and schedules requests to disseminate member research surveys.
  • Quarterly Newsletter – Support editorial team in setting up meetings, publishing new issues, organizing collateral, and ensuring timely submissions from staff and leadership.
  • Website – Makes minor edits to webpages.

Administrative Support of Society Executive Leadership:

  • Schedule meetings, phone calls, etc. often with multiple participants and disseminates materials.
  • Review, format, and send letters, communications, etc.
  • Maintain and update editor and deputy editor calendars. Send reminders when necessary.
  • Note taking during important meetings with subsequent creation of written minutes.

Duties in support of daily SBI Operations:

  • Serves as backup support for society customer service and answers incoming calls and emails to general mailbox.
  • Code all incoming invoices and expenses, submit to accounting for processing, makes electronic copy and files within SBI folders.
  • Perform relevant duties as assigned in support of JBI Editor, CEO, Senior Director of MMC, and Senior Director or Education and Meetings.
  • Other administrative duties as assigned.

Requirements:

Qualified candidates will have at minimum 1-2 years of related experience, proficiency in MS Office, excellent verbal and written communication skills, strong organizational skills. Candidate must also be highly motivated with the ability to manage multiple projects and prioritize to meet multiple deadlines. Must be able to work successfully in a remote environment. Previous association management experience a plus.

Other Requirements:
  • Some evening and weekend work may be required.
  • Possible travel, up to 2 times per year between 1-7 days at a time.
