Purpose

Assist in maintaining accurate and on-time reports and records relative to the service department’s operation within the dealership.

Responsibilities

  • Assist in Answering phone calls for service
  • Provides guidance and generates quotes for customer machine repairs
  • Manages the entire work order cycle process; generation through closing and invoicing for customer work
  • Maintain service counter schedule daily and complete before next day’s business
  • Assign jobs and work areas to techs according to their skill, knowledge and level of expertise
  • Sells service labor and parts ensuring all techs are highly productive so that budgets and goals are met
  • Reviews work orders for completeness and accuracy prior to customer billing
  • Inspect customer machines after repairs have been performed to assure that customer satisfaction is maintained when there machine is returned to them
  • Assist technicians in machine diagnostics as needed
  • Assist technicians in DTAC case creation
  • Write up work order requisitions and open work orders as needed
  • Keep techs productive and working
  • Assure that techs are keeping shop cleaned and organized
  • Ensures all service Warranty and Product Improvement Programs are completed, submitted to the warranty administrator within the required time frame to receive maximum credit
  • Issue purchase orders for outside supplies and repairs, submit bills for processing
  • Maintain and monitor special shop tool inventory
  • Keep customers informed of status of machine repairs and costs
  • Contact customers for authorization of additional repairs
  • Oversee all aspects of the service department in order to meet store and company goals
  • Promotes loyalty and customer goodwill and protects dealership and service department image
  • Communicate regularly with corporate leadership team to review department performance and personnel matters
  • Assist other store departments regularly with cross-functional department needs
  • Provide supplemental assistance to parts counter and sales
  • Assist Parts Counter with looking up parts utilizing a parts catalog and equipment schematics
  • Maintain knowledge of offered equipment
  • Perform other duties and functions as directed, in line with objectives of the dealership

Skills & Qualifications

  • 4+ years work related experience
  • Previous repair shop experience required
  • Ability to write and work on routine reports and correspondence
  • Experience operating equipment and using tools for diagnostic purposes
  • Experience with basic computer functions; computer based diagnostic repair tools preferred
  • Ability to speak effectively one on one or before groups of customers or employees of the organization
  • Ability to negotiate customer complaints to a satisfactory resolution.
  • Ability to define problems collects data, establish facts and draw valid conclusions.
  • Experience following Technical Manual procedures on machines of the Technician’s specialty
  • Strong organizational skills
